Job Description
- Full-time, Ongoing position at HEW Level 4.
- Parramatta South campus with occasional requirements to work at other sites.
- Salary: $77,982 – $83,022 per annum, plus 17% Super and Leave Loading.
Play a key role in delivering reliable, high-quality administrative support within the Faculty of Engineering, Computing and Science.
The Opportunity
The Administration Assistant plays an important role in supporting the smooth and efficient operations of the Faculty of Engineering, Computing and Science (ECS). Working as part of the professional staff team, you will contribute to the delivery of high-quality administrative services that assist both academic and professional colleagues across multiple schools and portfolios.
In this role, you will coordinate key administrative activities including IT access and asset tracking, procurement and purchasing processes, shared inbox management, and travel and expense claim processing. You will also support the administration of casual staffing, maintain accurate records, assist with data entry and compliance processes, and help ensure that faculty operations run reliably and in alignment with University policies.
You will work closely with the Business Operations Coordinator and Administration Officer to deliver consistent administrative practices across the Faculty. Your strong organisational skills, attention to detail, and ability to manage competing priorities will be central to enabling effective teaching, research and student-facing activities.
What Success Looks Like:
- Accurate coordination of IT access, procurement requests and asset tracking in line with policy.
- Timely processing of travel and expense claims, casual contracts and inbox enquiries.
- Strong record-keeping and compliance support across HR, finance and student systems.
- Professional communication and responsive service to staff, students and stakeholders.
- Effective coordination of meeting agendas, minutes and follow-up actions.

About You
- Administrative experience in a large or complex organisation and/or relevant qualifications.
- Strong digital proficiency, including experience with Microsoft Office and database systems.
- Well‑developed communication and relationship‑building skills.
- Ability to work independently and collaboratively, managing competing priorities effectively.
- Strong organisational skills with attention to detail and the ability to meet deadlines.
