Position Purpose
To manage, oversee, and coordinate the administrative operations of the Department of Economics, including prioritizing multiple activities and deadlines. The Administrator serves as a key advisor to the Chair and faculty on operational and financial matters, ensuring efficient, accurate, and compliant departmental operations. This role requires independent judgment, strong analytical capability, and effective use of institutional systems, digital tools, and emerging technologies.

- Bachelor's degree and at least 5+ years of relevant experience.
- Excellent verbal and written communication skills, including high-volume professional email communication.
- Strong planning, organizational, and problem-solving skills.
- Knowledge of financial and budget principles and procedures.
- Ability to learn and apply new technologies, including enterprise systems and AI-enabled tools.
- Strong attention to detail and accuracy.
- Ability to work independently and collaboratively in a complex academic environment.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Demonstrated ability to manage multiple priorities and deadlines.

Preferred Qualifications
- Experience in higher education or academic administration.
- Experience supporting faculty processes including searches, appointments, and course scheduling.
- Experience with enterprise administrative systems (e.g., Banner, Oracle, or similar platforms).

Description
Administration & Operations
- Independently manages the day-to-day administrative operations of the department.
- Establishes priorities and internal deadlines to meet institutional requirements.
- Interprets and applies college-wide policies and procedures, ensuring compliance.
- Serves as liaison between the Chair, faculty, and central administrative offices.
Percentage Of Time 15%
Budget Strategy & Financial Management
- Develops, manages, and monitors the department budget within parameters set by the DOF Fiscal Office, including operating accounts and endowments.
- Oversees reconciliation of departmental accounts and prepares financial reports for the Chair. Processes financial transactions including purchase orders, reimbursements, journal transfers, and payments related to prizes, awards, and research activities.
- Ensures compliance with institutional financial policies.

Faculty Affairs
- Independently coordinates faculty recruitment processes, advising search committees on procedures, managing applicant communications, and arranging candidate visits.
- Supports faculty appointments, reappointments, promotions, and tenure processes.
- Maintains confidential personnel files and ensures timely completion of required documentation and reporting.

Curriculum & Student Support
- Supports departmental course scheduling, including coordination of cross-listed courses and communication with the Registrar's Office.
- Monitors progress of majors and minors and communicates requirements, deadlines, and policies to students.
- Advises students on enrollment matters, transfer requests, and departmental procedures.

Communication & Outreach
- Serves as a primary administrative contact representing the department to internal and external constituencies.
- Manages departmental communications including email announcements, website content, publications, and program materials.
- Coordinates donor and alumni communications in partnership with Arts & Sciences Development.
Percentage Of Time 10%
Event & Program Management
- Plans and executes departmental events including lectures, workshops, conferences, seminars, faculty visits, and student presentations.
- Manages logistics including scheduling, travel arrangements, space reservations, catering, publicity, and expense tracking.

Information & Data Management
- Maintains departmental records and databases in accordance with institutional policies, including student, financial, and personnel records.
- Ensures appropriate data integrity, confidentiality, and retention practices.

Facilities & Operations
- Coordinates facilities-related matters including space assignments, maintenance requests, and access.
- Partners with FO&M and other campus offices to support departmental operations.

Staff Supervision
- Supervises student employees and temporary staff. Assigns work, monitors performance, and processes payroll documentation.
- Advises faculty and leadership on administrative HR processes in coordination with central HR.
