SUMMARY

SUNY Brockport is accepting applications for an Assistant Registrar - Graduation Specialist. Reporting to the Registrar, this role plays a critical role in SUNY Brockport's efforts to improve student success and timely degree completion. This position is responsible for managing all aspects of graduation processing, including degree certification, audit review, and communication with students and academic departments to ensure accurate and efficient awarding of degrees. The Assistant Registrar will maintain compliance with institutional and SUNY policies while leveraging technology and data to streamline workflows and reduce barriers to completion. Aligned with SUNY's Academic Momentum Campaign (AcMo), this role supports system-wide goals for on-time and extended graduation rates by implementing evidence-based practices such as structured degree audits, proactive outreach to students nearing completion, and collaboration with advisors to resolve outstanding requirements. The position will also contribute to campus action plans that advance retention and completion targets. By integrating Academic Momentum strategies into graduation processes, the Assistant Registrar ensures that students achieve their educational goals efficiently, supporting SUNY Brockport's commitment to student success and institutional accountability.

JOB FUNCTIONS

Essential Functions:

  • Leads degree certification by reviewing degree audits, validating catalog year and program/plan accuracy, and applying approved exceptions so eligible students are awarded on schedule-directly advancing 100%/150% graduation goals.
  • Identifies and resolves completion barriers (e.g., missing gateway courses, unmet residency or upper division credit requirements) and coordinates targeted outreach with advisors and departments to support timely conferral and reduce attrition.
  • Audits credit applicability (native, transfer, test, prior learning) and ensures accurate application to degree requirements; escalates articulation or substitution issues to Transfer Services/Academic Affairs to maintain momentum to completion.
  • Operationalizes structured degree maps in graduation workflows by verifying final term enrollment against map milestones (e.g., gateway completion, capstone/major requirements), supporting system targets for graduation and retention.
  • Coordinates end of term checks and communications (e.g., graduation eligibility, incomplete grades) with advisors, and departments to prevent delays and support AcMo goals.
  • Manages graduation cycles (application, intent to graduate, conferral, and post conferral corrections) in alignment with University timelines and AcMo reporting needs.
  • Partners with Academic Affairs and the Office of Special Sessions and Programs to ensure final term course availability and alternatives (e.g., winter/summer offerings, cross registration solutions) so students can attain required credits and maintain 30+ credit momentum in their first year and progress thereafter.
  • Maintains SOPs and user guides and communicate workflow changes to advisors/faculty.
  • Collaborates with IT/IR to support dashboards and data handoffs that monitor campus progress toward AcMo graduation/retention targets and other success metrics.

Non-Essential Functions:

  • Represents the Registrar's Office at campus events such as orientation, advising fairs, and student success workshops to promote understanding of graduation requirements and timelines.
  • Supports policy discussions by providing operational insights on feasibility and student impact.
  • Participates in campus committees such as Banner Steering and University Senate, contributing operational insights to improve retention and completion strategies.
  • Supports communication campaigns by creating FAQs, checklists, and digital content that clarify graduation processes and highlight Academic Momentum goals.
  • Engages in professional development through SUNY webinars, conferences, and communities of practice to stay current on best practices in graduation and student success initiatives.
  • Provides backup support for registration, scheduling, and other processes during peak periods or staff absences.

REQUIREMENTS

Minimum Qualifications:

  • Bachelor's degree from a college or university accredited by the U.S. Department of Education or an internationally recognized college or university
  • Minimum of two years of experience in higher education, preferably in a registrar's office or student records environment
  • Demonstrated attention to detail, analytical skills, and ability to interpret complex curricula and catalog policies
  • Strong communication and customer service skills; ability to collaborate across academic and administrative units
  • Strong organizational and time-management skills to handle multiple graduation cycles
  • Commitment to equity-minded practices and confidentiality (FERPA)

Preferred Qualifications:

  • Master's degree from a college or university accredited by the U.S. Department of Education or an internationally recognized college or university
  • Experience with student records and degree audit processes, including graduation processing and degree certification, using Banner and/or Degree Works (or comparable SIS/degree audit tools)
  • Experience training faculty/staff and leading cross-functional projects
  • Experience in process improvement and project management

ADDITIONAL INFORMATION

Work Schedule: 37.5 hours/week: Monday-Friday, 8 am-4 pm.
