Athletics Administrative Assistant
Class Description
The purpose of this class is to provide professional level administrative support services to assigned department or program.
Minimum Requirements
High school diploma/GED and five years related office experience or Associates Degree and three years related office experience; knowledge and experience using Microsoft Office applications; must complete and pass Microsoft testing modules which includes Word and Excel and demonstrate the ability to type 30 wpm. (Candidates with proof of current Microsoft Office Expert Specialist Certification do not need to test.)
Compensation within the posted range is determined by a candidate's education level and/or years of experience in the field. Generally, employees are hired in the lower third of the scale.
Class Specific Essential Duties
- Assist and provide information to students, faculty, administrators and the college community.
- Assist in planning meetings, special events, and with special projects.
- Serve as liaison between department or program and other offices or organizations.
- Research, analyze and process data into college systems.
- Maintain records and files.
- Answer, screen and direct telephone calls.
- Compile reports, documents, forms and correspondence.
- Create and track check requests, requisitions, work orders and other request forms.
- Process and manage all relevant course, program and/or personnel paperwork.

Position Specific Essential Duties
- Assist the department with tasks relating to the functions of the department.
- Initiate contact with and provide clerical administrative support to the CCBC Catonsville intercollegiate athletic program teams, student athletes, and coaches.
- Track all camp-based revenue and expenses and provide clerical and administrative support to sports camps.
- Prepare, process, and maintain assigned NJCAA compliance tasks including, but not limited to eligibility, letters of intent, membership-based tasks, and related web-based tasks.
- Prepare and process all athletic schedules, athletic contracts, banquet arrangements, departmental minutes, facilities schedules as assigned, game official arrangements, hotel reservations, meal money requests, and transportation schedules/requests.
- Provide direct registration and the administrative support described above to the Camp Heritage summer day camp.
- Work with a large off-campus constituency that include, but is not limited to prospective student athletes, parents, athletic administrators, coaches, facility users, and intercollegiate officials.
- Process payroll and check requests, as well as purchase requisitions as assigned.
- Maintain all facility scheduling and camper departmental databases.
- Respond to rental requests and prepare and process rental contracts for the CCBC Catonsville recreational facilities.
- Provide information to constituents as it relates to the NJCAA Handbook, camp brochures, facility use materials, and college publications.
- Serve as a secondary timekeeper administrator or a primary timekeeper administrator in the absence of a campus athletic facilities supervisor.
- Provide supplemental assistance and support to the Wellness Department at CCBC Catonsville as needed.
