Description:
Reporting to the Assistant Dean for Operations and CQI (Assistant Dean), the Budget Analyst provides operational support and coordination for the Office of Financial Affairs. The Budget Analyst facilitates and tracks daily budget activity within and across departments, works closely with each department head to assess, on a quarterly basis, fiscal position with respect to annual budget allocation, drafts reports and analyzes financial needs under the direction of the Director. This position requires the use of independent judgment in planning, the ability to prioritize a diversified workload, and discretion in regular communications with individuals at the medical school, Hofstra University, and Northwell Health. This position offers the opportunity for a hybrid work schedule.
Responsibilities include, but are not limited to:
- Manages the lifecycle of payments including check requisitions, vendor invoices, and Campus Dining and TGI invoices across all SOM departments, ensuring timely submission, accurate documentation, budget verification, and proper coding while tracking payment status and resolving discrepancies.
- Initiates, tracks, and reconciles purchase orders in collaboration with SOM departments and offices and Hofstra University's Procurement Services, manages vendor relationships, and handles order approvals.
- Processes all incoming payments including Northwell Health event invoicing, student awards, fundraising contributions, off-cycle faculty payments, and various departmental reimbursements, prepares check deposits, coordinates with multiple departments for payment confirmation, and delivers deposits to Hofstra University's Office of the Bursar while maintaining detailed tracking records.
- Maintains meticulous electronic tracking systems for all financial transactions and ensures that all purchases and payments are properly recorded, tracked, and reported across all SOM operating accounts.
- Handles all monthly P-card reconciliation and expense entry in SOM internal files and trackers for SOM cardholders, ensuring compliance with institutional policies and maintaining accurate records.
- Participates in regular meetings with departments related to budgetary matters and budget preparation.
- Performs special projects assigned by supervisor and assists with office administrative duties as required.
Qualifications:
- Bachelor's degree in accounting, finance, or related field required.
- 2-3 years of experience supporting financial or accounting functions, preferably in higher education, healthcare, or public/nonprofit organizations.
- Knowledge of accounting principles and their application to budget and accounting analysis.
- Must have above-average organizational skills and attention to detail, excellent interpersonal and communication skills, and must demonstrate a high degree of judgement, discretion, and confidentiality.
- Must have the ability to establish and maintain positive working relationships and manage projects in a busy environment and approach challenges with creativity and innovation.
- Must have extensive computing experience and proficiency with MS Excel, Word, PowerPoint, and Outlook.
Preferred Qualifications:
- Knowledge of automated financial systems (preferably Ellucian Banner).
