Description

The Coordinator of Exchange and Sponsored Student Programs advises J-1 exchange, sponsored, and IEP international students. Maintains student and school/program information help in federal government database (SEVIS). Serves as a DSO and RO for F-1 and J-1 programs. Ensures compliance with sponsorship, partner school agreement, and SEVIS regulation. Regularly communicates with sponsors and partner organizations to bring students to campus and provide assistance during their time at UCM. Coordinates undergraduate (FTF, transfer, exchange, and sponsored student) orientation.

Examples of Duties

RO & DSO Responsibilities, Sponsored Student/Exchange Program Admissions, Promotion & Growth; - 40%

  • Serve as university's Responsible Official (RO) for J-1 immigration and Homeland Security responsibilities, ensuring compliance with all federal regulation for non-immigrant students and scholars, as outlined in SEVIS guidelines and the NAFSA Advisors Manual.
  • Serve as a Designated School Official (DSO) for processing of F-1 non-immigrant documents and associated services.
  • Provide leadership and serve as the primary contact and reporting agent for sponsors, special programs and exchange partner home institutions of international students attending UCM(e.g., the Saudi Arabian Cultural Mission, IREX, Momoyama University).
  • Revise and update Admissions communications as needed.
  • Utilize Slate to review and process student applications.
  • Prepare letters for all sponsored students indicating their degree program and enrollment status; distribute to embassies, consulates, and Ministries of Education or scholarship agencies as requested by student or agency.
  • Lead conversations with academic advisors for undergraduate and graduate sponsored & exchange students, the English Language Institute Director and other offices on campus (for example the Student Financial Services Office and International Admissions).
  • Serve on campus committees as assigned, and maintain involvement in state, regional, and national international education associations.
  • Ensure students and scholars are in compliance with their visa status.
  • Supervise and train student workers regarding issues key to sponsored, exchange and special program students.

Orientation Planning & International Student Advising; - 30%

  • Responsible for planning, running International UG & Exchange/Sponsored Student orientations throughout academic year.
  • Report regularly to the Director on the status of each sponsored student; monitoring their enrollment, non-immigrant status, financial and academic status.
  • Monitor the status of online and hybrid courses for all sponsored students.
  • Assist with the department's emergency on-call response system.
  • Meet with all new sponsored, exchange and special program students in a group at least once per semester.
  • Update Orientation Portal and orientation communication as needed.
  • Be available in office to advise exchange, sponsored, and special program students with individual concerns (e.g., legal, academic, personal, cultural), utilizing campus and community resources as needed.

Data and Financial Records Management; - 20%

  • Monitor and update a database to track and manage international education agreements including but not limited to institution-to-institution agreements for academic and study abroad programs, 3rd party SA vendors, and sponsored program providers. Collaborate with the Coordinator of Study Abroad as needed.
  • Report regularly to the Director on the status of each sponsored student, monitoring their enrollment, non-immigrant status, financial and academic status.
  • Maintain a database of all sponsored, exchange and special program students tracking expiration dates of financial guarantees and proper enrollment in conjunction with Student Financial Services.
  • Maintain a contact list of embassies, consulates, and international scholarship agencies, ministries of higher education, regional studies centers, and U.S. funding sources for international and sponsored students.
  • Maintain records according to requirement and needs of the University and also Student Exchange Visitor Program (SEVP).
  • Facilitate billings to be done by Student Financial Services, including proper coding and posting of sponsored student grants and awards; tuition charges and credits for students; and insurance waivers as needed.

Recruitment & Campus Programming Development; - 10%

  • Help, as needed, with Study Abroad Fair to promote Exchange university programs.
  • Coordinate planning of special events, such as International Education Day.
  • In collaboration with the Director of ISS& the Director of the English Language Institute, develop strategic plans, goals, and recommendations for international education programs, services, and activities.
  • Other duties as assigned.

Typical Qualifications

Education:

  • Bachelor's degree in the following field(s) of study: Higher Education Administration, International Studies, Communication, Management, Public Relations, or related studies.
  • Master's degree in the following field(s) of study: College Student Personnel Administration, Higher Education Administration, International Studies, Communication or related field preferred.
  • Formal training: NAFSA Training in area of responsibility, i.e., F-1 Advising, J-1 Advising, Education Abroad etc.
  • Education may be substituted for experience or experience may be substituted for education. Note that equivalencies are based on the following: AA or 60 credit hours = 2 years experience; BA/BS or 120 credit hours = 4 years experience; MA/MS = 6 years experience; PhD = 8 years experience.

Experience:

  • Three (3) years of progressively more responsible experience in the area of international education, student affairs, and intercultural intelligence or cultural humanity administering programs and services.
  • Three (3) years of experience as a Designated School Official (DSO) preferred.
  • Three (3) years of experience as a J1 Responsible Official (RO) preferred.
  • Previous experience in organizational leadership in international student and scholar services preferred.

Supplemental Information

Special Qualifications:

  • American Citizenship or Permanent Residency as required to be a DSO/RO.
