Position Summary: The Domestic Field Study (DFS) Fiscal Manager provides comprehensive financial leadership and oversight for all faculty-led DFS programs and other study away initiatives within the Office of Instruction, including Experiential Learning (EL) and the Washington Semester Program (WSP). Serving as the central point of contact for fiscal operations, this position ensures compliance with UGA and USG policies while delivering training, guidance, and support to faculty and campus stakeholders. The DFS Fiscal Manager works closely with program directors, faculty, business officers, and university leadership to establish efficient fiscal processes, review and approve budgets, monitor tuition revenue, course creation, manage program financials, and oversee timely program closeouts. The role requires strong analytical skills, meticulous attention to detail, and the ability to communicate effectively across a wide range of campus partners. In addition, the DFS Fiscal Manager collaborates with key central offices—including the Bursar and Treasury Services, Registrar, Procurement, and Accounts Payable—to ensure financial compliance and to implement procedural improvements that enhance program success.

Duties/Responsibilities: Administration: Oversee budget review and approval process, financial management and administration for faculty-led Domestic Field Study (DFS) programs and all VPI study away programs (EL and WSP). Use the Terra Dotta system to manage the process. Serve as a liaison between VPI, all UGA central offices and college/school/unit representatives. Utilize Athena for Course Registration Numbers for each program, coordinating with Bursar and Registrar on assigning program charges to each program. Advise and collaborate with DFS Director, AVP and Sr. Director of Instruction Fiscal Affairs on day-to-day operations and any concerns. Work with campus Chief Business Officers, Financial Leads, Program Coordinators, Program Directors and others on fiscal affairs and other matters of DFS programs. Make recommendations for process improvements. Provide training, training materials and ongoing communications to college/school/unit business office and program representatives regarding DFS fiscal affairs, serving as a subject matter expert to the UGA community. (50% of time)
Duties/Responsibilities: Financials: Manage the full life-cycle of DFS budgets including creation, proposal, approval, updating, travel, return, and closeout. Develop and maintain process for budget review and approval. Allocate funds to support DFS programs. Develop and maintain the DFS budget templates. Review and analyze tuition generation on an ongoing basis. Prepare, review, analyze and prepare financial and statistical reports monthly. Review and analyze budget proposals for each field study program. Review and approve financial transactions. Manage and track withdrawals. Oversee process for received program deposit payments. Distribute funds. Create and manage Detail Codes. Assist DFS Director with other activities. (35% of time)
Duties/Responsibilities: Office of Instruction Study Away Programs & Backup: Manage the fiscal process for Experiential Learning and Washington Semester Programs. Assist with budget creation. Maintain electronic files. Reconcile programs monthly. Provide accounting and purchase support. Review and approve payment requests. Confirm expenditures. Assist with VPI operational budget reconciliations. (15% of time)
