Position Summary
The Research Foundation at SUNY Cortland is seeking a detail-oriented and organized individual to join the Advancement Information Services (AIS) Department as a Donor Database Specialist. This position plays a vital role in supporting Institutional Advancement efforts through accurate gift processing and constituent data management. The Donor Database Specialist will perform manual and electronic gift entry, print letters to donors and update records maintained by Institutional Advancement for SUNY Cortland alumni, parents, students, staff and friends of the college. Major Responsibilities
- Perform daily gift processing activities which include but are not limited to opening, coding and entering gifts received by mail, over the phone, online or in person, creating control tapes, electronically depositing checks, processing credit card payments, entering pledges, being part of a batch review process to ensure necessary checks and balances are being maintained
- Produce timely and accurate donor acknowledgements, special stewardship letters and pledge reminders based on prescribed schedules and maintain proper documentation of the correspondence in appropriate systems
- Scan and index documents to OnBase
- Update individual constituent records as needed
- Input notes and media on constituent records in Raiser's Edge/NXT or other systems as necessary
- Ability to work evenings and weekend hours during the Cortland Challenge and possibly up to three times per year during special events (e.g. Cortland Challenge, Alumni Reunion, Cortaca)
Functional and Supervisory Relationships
This position reports to Director of Advancement Information Services. Close working relationships with the Advancement Financial Services, Advancement Information Services, the Cortland Fund staff, Development, Alumni Engagement and all areas of Institutional Advancement.
Required Qualifications
Associate's Degree plus 1 year of experience in an office setting -or- High School diploma or its equivalent plus 2 or more years' experience working in an office setting.
Preferred Qualifications
Experience using Raiser's Edge/NXT, Anthology or ImportOmatic. Experience with cash balancing/reconciling balances. Experience creating and executing mail mergers using Microsoft products. Experience working in Higher Education or not-for-profit fundraising support programs.
Knowledge, Skills & Abilities
Proficiency using technology and learning new software packages. (This position requires heavy use of Microsoft Office365 and related applications- particularly Teams, Excel, Outlook and Word.) Ability to work both independently and within a team setting. Ability to identify errors and inconsistencies in formatting, reports and data sets. Must be able to read, understand and follow written and verbal instructions and accurately document projects. Ability to learn and understand business processes and procedures. Effective time management skills. Demonstrates respect for people and their differences; understands the benefits of varying perspectives. Has a commitment to data security and confidentiality.
