Executive Administrative Associate
Job Description
The Executive Administrative Assistant provides detailed and confidential support to the management of a department, performing a wide variety of administrative, clerical, and support activities. This position will support the Department of Academic Affairs and work with the Provost's Office.
Essential Job Duties:
- Perform highly responsible, confidential, and complex administrative and clerical functions, as required to assist department management.
- Assist Provost and other Academic Affairs leaders in coordinating fall and spring commencement ceremonies.
- Serve as liaison with other departments, individuals, and external institutions and agencies on a range of issues.
- Coordinate schedules and calendars as required; coordinate meetings and events and make travel arrangements as necessary.
- Assist with contracts.
- Maintain records and data.
- Assist with the development and oversight of the budget, financial information, and reports.
- Handle phone calls, mail, and emails appropriately and professionally.
- Assist with the planning and coordination of events.
- Maintain office supplies as needed.
- Represent the department at meetings and on committees as required.
- Perform other related duties as assigned.
Knowledge, Skills and Abilities:
- Proficient in Microsoft Office programs and other general office programs and equipment.
- Ability to learn new computer software.
- Knowledge of relevant university policies and procedures.
- Strong customer service skills.
- Good problem-solving skills.
- Organized thinker with exceptional attention to detail.
- Excellent communication skills, both verbally and in writing.
- Ability to work with confidential information.
- Ability to effectively organize and prioritize work as well as concentrate on multiple tasks simultaneously.
- Basic knowledge of event planning.
Required Qualifications
This position requires a High School Diploma or equivalent.
Must have one to three years of experience in providing administrative support to an upper-level executive.
Preferred Qualifications
An Associate Degree in Communication, Business, or a related field is preferred.
Experience in higher education is preferred.
Physical Demands
General office conditions. Exposed to moderate noise levels.
Required to use close vision and be able to focus.
Regularly required to talk and hear; frequently required to sit, stand, and bend at the knee and waist, and walk.
Must be able to have repetitive wrist, hand and/or finger movement to type and work on computer.
Must have finger dexterity and hand-eye coordination to work on computer, telephone, and related office equipment.
Regular attendance is a necessary and essential function.
