Graduation Evaluator
About the Position

This position specializes in evaluation functions under the general supervision of the University Registrar. This specialization includes performing preliminary graduation evaluations, processing final degree checks for graduating students, and posting degrees in accordance with all relevant policies including CSU and Title V. The position is also responsible for training other evaluators, communicating policies and procedures to various audiences including staff, students, and faculty, and providing course advisement to students.
Responsibilities
Specialist for Graduate Evaluation
- Generate and issue degree progress audits to students.
- Conduct final graduation checks for students who have filed for graduation.
- Have a thorough understanding of the complex articulation and course applicability rules.
- Meet all degree review audit and posting deadlines as set by the Associate Registrar, providing timely service to students.
- Comprehend the policies related to grade forgiveness and the back dating of graduation terms, and code the student’s record as appropriate.
- Review major checks received from academic departments and review for accuracy, communicate with departments for clarification regarding course substitutions and other course applicability issues.
- Communicate with faculty, staff and students about major checks and other required documentation not submitted, and the deadlines for submission.
- Post additional transfer work taken at other institutions, and update the record and degree audit system appropriately.
- Post degrees for graduating students in an accurate and timely manner.
- Review and assess imaged application documents (applications, transcripts, test scores, etc.) for candidates for graduation according to CSU and CSUEB guidelines.
- Fully utilize new technologies including document imaging and degree audit programs to assure timely completion of tasks.
- Accurately enter and update student information in administrative computing systems as appropriate.
- Assist in training new graduation evaluators as necessary.
Advisement and Information
- Respond to all inquiries promptly from staff, students, faculty and alumni.
- Explain policies and procedures to students, staff or faculty related to a student’s record on all topics related to graduation: transfer credit, grade forgiveness, general education, major requirements, course applicability, GPA calculations and requirements, university writing skills requirements, etc.
- Provide training and deliver information to various audiences/groups including staff and faculty on graduation policies and procedures.
- Discuss the results of a graduation check with students and advise them on remaining degree requirements and course selection.
Minimum Qualifications
Experience
- The equivalent of two (2) years of professional experience in one of the student services program areas or in a related field.
- Experience should give evidence of competence and indicate the potential for further growth.
- A master’s degree in a job-related field may be substituted for one year of professional experience.
Education
- Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job-related field.
- Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown above may be substituted for the required education on a year-for-year basis.
Preferred Skills and Knowledge
- Bachelor’s degree in social work, human services, public administration, public health, sociology, or a related field.
- Demonstrated knowledge of CSU, Title 5, and campus academic policies and procedures related to graduation requirements, general education and major requirements, transfer credit and articulation, grade forgiveness and GPA calculations and course applicability and degree audit rules.
- Experience in academic advising with a strong focus on degree requirements and policy interpretation.
- Experience independently conducting preliminary and/or final graduation evaluations or similar academic reviews.
- Experience in student records or registrar functions.
- Experience in graduation evaluation or degree certification.
- Ability to analyze and interpret complex academic records, including transcripts from multiple institutions.
- Ability to apply articulation agreements and course substitution approvals accurately.
- Ability to identify and resolve discrepancies in student records using policy and established procedures.
- Experience using student information systems (e.g., PeopleSoft or similar) and degree audit tools to update, maintain, and certify student records.
- Proficiency with standard office software and document imaging systems.
- Ability to clearly explain complex academic and graduation policies to students, faculty, and staff in both written and verbal formats.
- Demonstrated experience providing accurate graduation advisement, including explaining remaining degree requirements and timelines.
- Strong interpersonal skills with the ability to communicate effectively with diverse populations, including students, faculty, administrators, and alumni.
- Ability to work independently under general supervision, exercise sound judgment, and meet strict deadlines.
- Demonstrated attention to detail and commitment to accuracy and compliance in academic records and degree certification.
- Ability to manage a high volume of work while maintaining quality and timeliness.
- Experience assisting with or providing training to colleagues on academic policies, procedures, or evaluation processes.
- Demonstrated ability to maintain confidentiality and handle sensitive student information in compliance with FERPA and university policies.
- Commitment to equitable and consistent application of academic policies.
Salary and Benefits
Salary Range: $5,083.00 per month to $7,228.00 per month. PLEASE NOTE: The starting salary placement depends on qualifications and experience and is anticipated to be in the range of $5,083.00 per month to $6,155.00 per month.
