Description of Job Duties and Responsibilities
- Performs general administrative functions for the College of Nursing.
- Coordinates collection of specialized information and forms for each clinical agency. She enters this information into our database as appropriate.
- Provides correspondence to clinical agencies.
- Coordinates Advisory Council meetings by sending out invites, tracking responses, making arrangements for food and meeting place, taking minutes, and distributing information.
- Serves as a liaison between clinical agencies and FSU College of Nursing Administration.
- Purchasing supplies for the clinical component of courses, in particular for the Skills and Simulation Labs. As part of this responsibility she reconciles charges to P-card.
- Performs statistical and special assignments related to the accreditation requirements for clinical component.
- Provides information and advice to students and faculty relative to program requirements and activities.
- Coordinates scheduling of appointments and meetings with clinical agencies.
- Assists faculty as needed and time permits.
- Enhanced administration and responsibilities associated with our required use of a new tracking system, American DataBank, which now includes ASN (Traditional, Weekend and LPN - ASN ), BSN (Traditional and RN to BSN ) and school nurse, faculty, and clinical adjuncts.
- Administration of My Clinical Exchange.
- Assists with renewal of clinical agency contracts (done on a yearly basis) and helps with the establishment of new clinical agency agreements by typing contracts and ensuring that they are received back prior to start of clinical rotations.
- Other duties as assigned.
Minimum Required Education
Job requires broad trade knowledge or specific technical or business knowledge received from a formal registered apprentice or vocational training program or obtained through an associate’s degree of over 18 months and up to 3 years beyond high school.
Minimum Required Qualifications
Over six and up to twelve months of experience; however, any equivalent combination of education and/or experience is acceptable which provides an applicant the listed knowledge, skills, and abilities and the capability to perform the essential functions of the job.
Preferred Qualifications
- Knowledge of Microsoft, Excel, PowerPoint, Access and other Microsoft programs.
- A minimum of 3 years experience as an administrative assistant in higher education.
- Excellent word processing skills.
- Working knowledge of agency contracts.
- Knowledge of medical terminology.
- Ability to type with speed and accuracy.
- Ability to operate office equipment and machines.
- Knowledge of vocabulary, grammar, punctuation and spelling.
- Ability to organize and coordinate activities.
- Ability to do basic statistical analysis.
- Ability to use other databases and software as needed.
