Job Description

The Program Coordinator plays a key role in organizing and delivering high-impact educational programs tailored for legal professionals and executives for HLS Executive Education (HLS EE). This position executes with proficiency logistical and administrative support for both custom and open-enrollment programs. On a rotating basis, coordinators are assigned either to be the lead coordinator or support coordinator. In addition to program support, coordinators support department wide projects and processes.

As a Program Coordinator you will:

Work in a team with Program Coordinators, faculty, and other administrative staff to deliver programs. You will spend your time split between specific program assignments and ongoing departmental support.

During program assignment, you will coordinate program logistics by:

  • Coordinating the planning and execution of assigned programs, following established timelines, tools and processes and seeking guidance as needed.
  • Tracking enrollment and responding to participant inquiries using established templates, resources, and policies.
  • Serving as the primary point of contact for faculty, participants and vendors, proactively communicating with and preparing materials for all as necessary.
  • Monitoring and documenting the in-program experience to help ensure consistent high-quality execution, sharing observations and suggestions with the team.
  • Submitting financial documentation in support of program activities – and assisting in program close out and reconciliation.

As ongoing departmental support, you will:

  • Contribute input and feedback to future planning based on your program experience.
  • Support office logistics, culture and all ongoing program activities.
  • Support administrative staff with related projects as needed – ie, compiling longer term data, developing new resources, organizing digital or physical spaces.

Basic Qualifications

Minimum three years of related experience. Education beyond high school may count toward experience.

Additional Information

Standard Hours/Schedule: 35 hours per week; Full-Time, M-F. This position requires some evening and weekend work with overtime.

Work Format Details

This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University’s Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
