Position Summary
We are seeking an experienced and detail-oriented Registrar to join our team in our Orlando FL or Devens, MA administrative headquarters. This individual will serve as the primary custodian of student academic records and will be responsible for overseeing all registration processes, enrollment verification, and academic compliance.
The ideal candidate is a process-driven professional who thrives in a fast-paced environment and understands the unique administrative landscape of medical education.
Key Responsibilities
- Academic Records Management: Maintain the integrity and confidentiality of all student records in compliance with FERPA and institutional policies.
- Registration & Enrollment: Manage the course registration process, add/drop periods, and official enrollment reporting for each term.
- Credentialing & Certification: Facilitate the processing of USMLE applications, ECFMG certifications, and state board licensing documentation.
- Degree Audit & Graduation: Conduct final degree audits to ensure students have met all clinical and academic requirements for graduation and the conferral of the MD, Master’s and Bachelor’s programs.
- Compliance: Ensure all records meet the standards of relevant accrediting bodies.
- Transcript Services: Oversee the issuance of official transcripts and letters of good standing.
- Student Support: Act as a primary point of contact for students regarding academic status, leave of absence, and enrollment concerns. Additional duties as assigned by the Associate Dean, Student Support
Required Qualifications
Education: Bachelor’s degree from an accredited institution is required.
Experience: A minimum of 3–5 years of experience in a Registrar’s office or higher education administration.
Industry Knowledge: Prior experience working within a medical school or a Caribbean medical education program is highly preferred.
Technical Skills: Proficiency in Student Information Systems (SIS) and Microsoft Office Suite (Advanced Excel skills preferred). Preferred Skills Strong understanding of ECFMG/ERAS processes and USMLE requirements. Excellent communication skills with the ability to navigate diverse cultural and academic backgrounds. High level of discretion and judgment when handling sensitive student data. Exceptional organizational skills and the ability to meet strict deadlines.
Work Environment
This is a strictly in-office position located at our Orlando, FL or Devens, MA administrative headquarters. Standard business hours, with occasional extended hours during peak registration or graduation cycles.
Salary commensurate with experience.
