Primary Purpose:

Manages the university retirement plan administrative processes, ensuring fiduciary oversight and regulatory compliance, delivering accurate recordkeeping. Serves as university subject matter expert for retirement plans, identifying, developing and managing both internal and external resources and providing participant education and support.

Essential Job Functions:

  1. Develops and implements cost-effective retirement plan administrative systems and procedures. Ensures timely processing of plan contributions and distributions and accurate investment provider recordkeeping.
  2. Reviews vendor audit reports and directs process improvements to eliminate administrative errors. Reduces operating expenses through effective use of excess revenue and forfeiture account funds to cover administrative costs.
  3. Coordinates Retirement Plan Investment Committee activities and manages relationships with committee financial advisors.
  4. Reviews retirement plan documents and recommends amendments or changes as needed. Manages document updates in coordination with external legal counsel and consultants.
  5. Ensures regulatory compliance, manages annual disclosure distributions and participant reporting, and provides ERISA oversight of retirement plans. Works closely with ERISA counsel to ensure NSU Retirement Plans are in compliance with DOL, IRS, and ERISA regulations.
  6. Develops participant and financial reports to support annual retirement plan financial statements, plan audits, and Form 5500 filings. Researches and resolves complex plan-related questions for Finance and external auditors.
  7. Manages investment provider and consultant relationships. Monitors service delivery, evaluates participant data, and directs participant education initiatives to enhance retirement readiness. Maintains service provider agreements and contracts, updating as necessary.
  8. Provides recommendations to leadership for increasing participation through educational initiatives, system enhancements, and cost reduction strategies consistent with industry best practices.
  9. Develops procedural documentation and provides training to staff on retirement plan systems and administrative procedures.
  10. Maintains strict confidentiality of all employee, departmental, and University information accessed in the course of performing job duties.
  11. May plan, direct, supervise, and coordinate work activities of subordinates and staff, including hiring, coaching, evaluating, and terminating, all in accordance with University policies and procedures.
  12. Completes special projects as assigned.
  13. Performs other duties as assigned or required.

Required Knowledge, Skills, & Abilities:

  1. Knowledge of SECURE 2.0 provisions and other mandatory regulatory provisions.
  2. Thorough understanding of pension regulations, legislation, plan design concepts, and retirement plan administration procedures.
  3. Expertise in plan design, consulting, daily plan administration, vendor management, and compliance reporting.
  4. Knowledge of retirement plan administration system requirements, vendor selection processes, and retirement plan vendor products.
  5. Strong analytical and problem-solving skills.
  6. Proficiency with databases and Microsoft Office applications, including Word, Excel, PowerPoint, and Access.
  7. Excellent written and verbal communication skills.
  8. Banner system proficiency.

Physical Requirements:

  1. Near Vision - Must be able to see details at close range (within a few feet of the observer).
  2. Speech Recognition - Must be able to identify and understand the speech of another person.
  3. Speech Clarity - Must be able to speak clearly so others can understand you.
  4. Travel - Must be able to travel on a daily and/or overnight basis.
  5. May be required to work nights or weekends.
  6. May be exposed to short, intermittent, and/or prolonged periods of sitting and/or standing in performance of job duties.
  7. May be required to accomplish job duties using various types of equipment/supplies, to include but not limited to pens, pencils, and computer keyboards.

Required Education: Bachelor's Degree

Required Experience:

Minimum of seven (7) years of retirement plan administration experience with a large institution supporting at least 10,000 plan participants, including experience in a senior administrator or managerial capacity.

Preferred Qualifications:

  1. Experience with retirement system implementations.
  2. CEBS, CBP, PHR, or SPHR certification.
  3. Demonstrated experience managing vendor relationships and compliance reporting.
