The Senior Academic Programs and Quality Officer plays a key role within the Science Education Team in coordinating the lifecycle of academic offerings from proposal creation to ongoing quality assurance activities. This a collaborative role working closely with the academic leadership team, in particular the Deputy Dean Education and the Associate Dean Academic Programs and Quality, along with the Education Support and Quality Manager.


About the role

The role reports to the Education Support and Quality Manager and has no direct reports.

Specific responsibilities for this role include:

  • Maintain a comprehensive understanding of University and Faculty policies and procedures, relevant to governance, design, delivery, review, and quality of academic offerings,
  • Provide effective advice and training to academic staff on the policies, procedures and systems for the creation, revision and disestablishment of programs, specialisations and courses in the Faculty.
  • Create and manage workflows and systems for managing curriculum related projects, such as course level uplifts.
  • Act as the faculty's primary liaison for the administration of UNSW curriculum management system (currently ECLIPS) and independently coordinate academic offerings' proposals from submission to the Faculty Admin stage until sign-off by the relevant Faculty Committee.
  • Provide high level governance support to Science Teaching and Quality Committee, which includes coordinating the meeting pack, recording accurate minutes of meetings in a timely way and escalating changes proposed by committee to proposal authors, ensuring all documentation is of the highest standard and align with strategic objectives.
  • Independently coordinate key quality assurance activities such as Academic Program Reviews and annual Course and Program Monitoring, including the compilation of data and information packs, minutes, and other documentation ready for dissemination to panel members and other stakeholders.
  • Work collaboratively with the central Academic Administration and governance teams to ensure productive relationships are developed and maintained.
  • Take a leadership role in implementing centralised systems for effective management of records related to governance, program reviews and accreditations in the Faculty of Science.
  • Proactively lead and identify business improvement activities to streamline processes to enhance administrative efficiency and academic program governance.
  • Align with and actively demonstrate the Code of Conduct and Values.
  • Cooperate with all health and safety policies and procedures of the university and take all reasonable care to ensure that your actions or omissions do not impact on the psychosocial or physical health and safety of yourself or others.

To be successful in this role you will have:

  • Relevant tertiary qualification with subsequent relevant experience in education, program management or related field, or equivalent competence gained through any combination of education, training and experience.
  • High level expertise in utilising curriculum management systems, with demonstrated proficiency using ECLIPS or similar systems.
  • Demonstrated ability to interpret and apply policies and procedure related to academic governance, with a proven track record of advising on policies and procedures to ensure alignment with Faculty strategic objectives.
  • Demonstrated experience in delivering targeted training and high-level advisory support to academic staff on the policies and systems relating to programs, specialisations and courses.
  • Proven track record in coordinating quality assurance activities, such as Academic Program Reviews and Course and Program Monitoring, independently managing data compilation, creating information packs, and preparing documentation for review panels and stakeholders.
  • Excellent time management, organisational and problem-solving skills, with experience in prioritising complex projects that require balancing multiple priorities, maintaining accuracy and attention to detail.
  • Outstanding interpersonal and written and verbal communication skills, ensuring a professional communication style is maintained at all times.
  • Demonstrated experience delivering high quality, customer service and support, with the ability to address and resolve complex client needs at all levels.
  • Highly proficient computer literacy with excellent skills in Microsoft Office applications including Excel and Power BI for data analysis.
  • Proven ability to make sound judgements and work both independently and as part of a team.
  • An understanding of and commitment to UNSW’s aims, objectives and values in action, together with relevant policies and guidelines.
  • Knowledge of health & safety (psychosocial and physical) responsibilities and commitment to attending relevant health and safety training.
