Department Summary

The UCLA Department of Psychology is an exceptional department known for its excellence in research, teaching, and service. With a distinguished faculty comprising more than 60 ladder rank members, it is one of the nation's top psychology departments. Its undergraduate program is the largest within the Division of Life Sciences and the UCLA College, with 5,000 undergraduate students enrolled across three majors: Psychology, Psychobiology, and Cognitive Science. The department also offers a comprehensive Ph.D. program with eight areas of study to approximately 200 enrolled graduate students.

Position Summary

Under the general direction of the Undergraduate Advising Supervisor in the Department of Psychology, with an undergraduate population of approximately 5,000 students, the incumbent advises students on academic requirements with an understanding of University policies and procedures on the Departmental major and minor programs. Researches, interprets, applies, and implements University policy in all areas of academic advising and exercises independent judgment in day-to-day student affairs programmatic initiatives. Exercise principles of developmental academic advising and knowledge of teaching and learning theory to promote academic, career, and life goals in an effort to support student retention, timeliness to degree, academic success, as well as intellectual and personal development. The position serves as a career counselor and serves a mission critical to divisional need as the Life Sciences pre-health advisor for STEM majors. Responsibilities also entail Undergraduate Admissions management, for admissions and application reviews providing statistical analysis of departmental majors and minors to senior leadership. Interacts and works collaboratively with the Vice Chair of Undergraduate Programs, the Director of Student and Instructional Services and the Undergraduate Advising Supervisor on special projects.

Qualifications

  • 4-7 Years of related experience. (Required)
  • Detailed knowledge of requirements and application process for medical, graduate, and health professional schools. (Required)
  • Skill in designing informational pieces in multiple media for presentations online and in-person. (Required)
  • Ability to synthesize information and present it to students and staff members in order to maintain accuracy and consistency across the division. (Required)
  • Demonstrated skill in employing fundamental counseling with sensitivity sufficient to assist students in the resolution of problems or establishment of academic goals. (Required)
  • Skill in interacting with persons of various social, cultural, economic, and educational backgrounds for the purposes of advising students and working with faculty and staff. (Required)
  • Skill in the interpretation of transcripts and/or coursework (catalogs, syllabi, etc.) from other universities and colleges to accurately advise students of degree applicability. (Required)
  • Skill in mediating between contending parties. Skills in judgment and decision-making, problem solving. (Required)
  • Skill in writing grammatically correct, routine business correspondence, procedures, proposals and reports. Skill in speaking clearly and distinctly using appropriate vocabulary and grammar to obtain and convey information faculty, staff and students. Skill in reading documents written in standard English text. (Required)
  • Abilities in problem identification, reasoning, ability to develop original ideas to solve problems. Ability to work in an environment of constant interruptions and remain friendly and helpful. Ability to assess a spectrum of job needs and personal demands and establish appropriate priorities. Skill in working independently and following through on with minimal supervision. (Required)
  • Ability to relate to individuals and groups of students using communication, counseling, and problem-solving skills. Ability to assess a spectrum of job needs and personal demands and establish appropriate priorities. Ability to establish and maintain cooperative working relationships with students, faculty, staff, and administration and work as a member of a team; collaborating with colleagues. Working knowledge of the internet and online web-based systems. (Required)
  • Skill in analysis, development, implementation and management of academic and student programs. Ability to analyze and interpret complex policies and regulations and apply them where applicable. Skill in designing, developing, and maintaining spreadsheets and databases for compiling information. Skill in producing reports and analyses from spreadsheets and databases. Ability to develop and analyze statistical information from a variety of sources. (Required)
  • Strong knowledge of the following University policies and procedures: a. Undergraduate Admissions b. Registrar's Office c. College of Letters and Science d. Career Center e. Student Psychological Services f. Campus and Events Management g. Department of Psychology h. Academic Resources Coordination. Knowledge of the applicable federal and state regulations governing areas related to responsibilities of the position including the Federal Educational Rights and Privacy Act (FERPA) and ability to maintain strict confidentiality at all times. (Preferred)

Education, Licenses, Certifications & Personal Affiliations

  • Bachelor's Degree in related area and/or equivalent experience/training. (Required)
  • Master's Degree in related area and/or equivalent experience/training. (Preferred)

Special Conditions for Employment

  • Background Check: Continued employment is contingent upon the completion of a satisfactory background investigation.
  • Live Scan Background Check: A Live Scan background check must be completed prior to the start of employment.
  • CANRA: The position is designated as a mandatory reporter under CANRA. The employee must sign the 'Statement Acknowledging Requirement to Report Child Abuse'.

Actual salary offers consider factors, including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations.
