The Undergraduate Programs Office in The Grainger College of Engineering seeks applicants for an Academic Advisor & Coordinator of International Experiential Learning position. This position is responsible for program planning and management of international experiential programming in The Grainger College of Engineering (GCOE); increasing the number of international experience opportunities for both domestic and international students; and supporting the College's goal to steadily increase the education abroad participation rate.

Duties and Responsibilities:

  • Advising and Student Guidance
  • Provide academic and administrative advising to current and prospective education abroad students within GCOE.
  • Provide health, risk management, safety guidance, and oversight to student members of GCOE Registered Student Organizations (RSOs) that include international travel for either projects or conferences.
  • Respond to evolving student questions and concerns related to education abroad.
  • Conduct informational sessions on education abroad, health and safety presentations, and Pre-Departure and cultural orientations for students on semester abroad, short-term Faculty-led, and international experiential programming such as global classrooms/COIL collaborations, international internships, virtual programming, and RSO programming.
  • Promote programs and recruit students by representing International Programs in Engineering (IPENG) at education abroad fairs, outreach events, classroom visits, and student organization visits.
  • Co-lead/teach a special section of ENG 398 for RSO student groups Pre-Departure.
  • Coordinate with other IPENG program coordinators to organize and schedule required study abroad advising meetings.
  • Development of Educational Experiences
  • Plan, manage, and execute budget development, application review, and marketing of a substantial portfolio of short-term study abroad and international experiential learning programs in collaboration with departments, administration, faculty, staff, and student organizations within GCOE.
  • Collaboratively lead faculty-led programs, including providing academic guidance to students via lectures and discussions in on-campus courses, and in-country serving as point of contact and mentor, managing emergencies, and facilitating impactful cross-cultural learning initiatives.
  • Manage faculty-led application review process, assess applicant qualifications, and ensure adherence to internal processes and program requirements.
  • Develop and implement program leader training and resources, such as the program leader handbook, to match the Standards of Good Practice and in compliance with campus guidelines.
  • Work closely with Illinois International's Office of International Safety & Security (ISS) to ensure Grainger Engineering short-term Faculty-led programs and international experiential learning programs are aligned with campus policies related to health, safety, and risk management. This includes policy development and maintaining current documentation for all stakeholder groups as needed.
  • Work with the Center for Innovation in Teaching and Learning (CITL), the faculty community of practice, and short-term program leaders on program and course surveys for continuous assessment and program improvement.
  • Collaborate with the Director of International Programs in Engineering on program assessment, data collection, and analysis to make recommendations for improvements, new programs, student retention, and student satisfaction.
  • Partner with Grainger Engineering First-Year Experience (GFX) to oversee the Global Engineering Ambassador (GEA) Program which focuses on exchange students to Grainger Engineering and outbound student outreach. This includes leading training, helping schedule events, overseeing communication and general activities supervision and other duties. Additionally, manage a shadow budget for the GEA program and provide oversight to a graduate student who handles day-to-day operations.
  • Work nights and/or weekends if/when traveling with students on international programs; serve as primary emergency contact when faculty-led programs are in travel status. Work some evenings and/or weekends to participate in advising and outreach activities on and off campus, and to attend professional events.
  • Administrative Coordination
  • Coordinate logistics, including travel and accommodation arrangements, short-term program budget development, payment arrangements/purchase orders with OBFS, risk management, and application procedures for students and staff participating in IPENG short-term Faculty-led programs and international experiential learning programs.
  • Maintain program brochure pages in Terra Dotta Systems for IPENG short-term study abroad programs and international experiential learning programs.
  • Manage the IPENG website for relevant work areas, including short-term Faculty-led programming, experiential learning programs, and scholarship information; oversee updates and unifying information. Set dates and deadlines for updates.
  • Develop marketing materials, procedure manuals, and administrative forms for internal IPENG team use.
  • Compile and analyze statistics, including program manuals and supporting documentation for selected programs and majors.
  • Oversee undergraduate student employees; develop projects, supervise for quality control, time management, and ensure they meet deadlines and university standards.
  • Coordinate Grainger Engineering International Scholarship administration for all short-term programs.
  • Serve on campus-level study abroad working groups to assist in the development of study abroad policies and procedures.
  • Work cooperatively with other international programs offices across campus, as well as Grainger Engineering units such as UPO, ARISE/MEP, WIE, and ECS.
  • Assist in campus-wide batch visa processing for high-volume destinations, which includes gathering, compiling, and checking student documents.
  • Participate in professional conferences, international partner visits to Illinois and international site visits.
  • Other duties as assigned.

Minimum Qualifications:

  • Bachelor's degree in international education, curriculum, engineering, or related field
  • One year of experience with international education or student advising
  • Experience with international study or living

Preferred Qualifications:

  • Master's degree in international education, curriculum, engineering, or related field
  • Experience organizing multiple, simultaneous international education experiences
  • Experience organizing in-person and virtual events
  • Experience working closely with faculty
  • Experience developing marketing materials, procedure manuals, and forms

Knowledge, Skills and Abilities:

  • Ability to work efficiently with multiple tasks and responsibilities, especially under the pressure of deadlines
  • Ability to collaborate effectively and enthusiastically in a team
  • Excellent oral and written communication skills, particularly those that enable the candidate to effectively represent IPENG as a liaison with students, parents, faculty, and staff, both at Illinois and abroad
  • Knowledge of Terra Dotta Systems (TDS), Campus Groups, Google Sites, and MS Office suite
  • Excellent attention to detail
  • Demonstrated ability and commitment to working collaboratively with colleagues and independently

APPOINTMENT INFORMATION

This is a full-time academic professional position appointed on a 12-month service basis. The expected start date is as soon as possible after the closing date. Applicants may be interviewed before the closing date; however, no hiring decision will be made until after that date. The budgeted salary range for this position is $55,000 - $65,000. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity. This position will be expected to work at the University of Illinois Urbana-Champaign campus on a full-time basis per the University's Workplace Flexibility policy. Sponsorship for work authorization is not available for this position.
