Admin Executive Assistant (HEOa) Diversity and Compliance, Office of the President
POSITION DETAILS
This position reports directly to the Dean of Diversity and Compliance. In addition to, but not limited to the CUNY Title Overview, the Administrative Executive Assistant responsibilities include the following:
- Schedule and coordinate cross departmental meetings, trainings, and confidential appointments related to Title VI, Title IX, EEO, Workplace Violence, Student SPARC, and Middle States.
- Prepare, format, and distribute complex reports, briefing materials, agendas, and follow up documents with high accuracy.
- Manage communications for the executive, including sensitive inquiries, stakeholder correspondence, and incident related communications.
- Maintain and update confidential files, logs, and databases (e.g., incident tracking, training records, & compliance metrics).
- Track progress on Diversity Equity and Inclusion initiatives, compliance projects, audits, and accreditation - related tasks.
- Coordinate external resources and services, (e.g., consultants and vendors) necessary for programs and events.
- Assist HR and Legal liaison activities as needed (e.g., onboarding for diversity roles, documentation for investigations, and policy updates).
- Collaborate with Student Affairs, HR, Legal Affairs, and Public Safety on cross functional initiatives.
- Assist with Clery Act compliance documentation, statistics collection and related data integrity checks.
QUALIFICATIONS
Bachelor’s degree and four years’ related experience required.
Excellent verbal and written communication, interpersonal, organizational, team building, prioritization, and problem-solving skills.
Proficiency and competency in database management, Microsoft Office 365 (Word, Excel, PowerPoint, Outlook), and other relevant systems/software.
Previous work with a College Administrative Office involving Policy Enforcement/Compliance.
CUNY TITLE OVERVIEW
Provides support to a Campus or University Executive, organizing and supervising unit activities.
- Creates appointment and meeting schedules, arranges meetings, and prepares for a variety of special events. Maintains an ongoing calendar of reports, deadlines, and key dates and incorporates these into a schedule.
- Coordinates Executive communications, including those requiring a high degree of sensitivity. May respond to public inquiries as well as requests from within the Campus/University community.
- Organizes, creates, and distributes key, complex management reports with a high degree of accuracy.
- Organizes, manages, and tracks written and email correspondence, maintaining logs and records of follow-up activities.
- Procures required internal and external resources and services and manages their utilization.
- May supervise office staff, performing basic Human Resources functions such as recruiting and interviewing.
- May perform related duties as assigned; may participate in special projects and efforts to improve unit effectiveness.
