Administrative Assistant - Provost's Office
Job Description
This is a full-time non-exempt position. This position will work in collaboration with Executive Assistant staff to provide support to Senior Administrative officials within the President’s and Provost’s Office.
REQUIREMENTS/MINIMUM QUALIFICATIONS:
Experience
- A minimum of three years' administrative experience is required, or the completion of a college degree may substitute for administrative experience.
Education
- High school diploma required; some college preferred
Licenses/Certifications/Credentials
- Licensed Indiana Notary Public preferred
ESSENTIAL FUNCTIONS:
- Responsibilities include support for university-wide processes and practices.
- Supporting the administrative needs of Senior Administrative officials within the President’s and Provost’s Office; calendar management, correspondence drafting and editing, agenda and minutes preparation. Additional project management or support as needed.
- Interact professionally and communicate effectively with a broad range of people, including faculty, administrators, students, and members of the Board of Trustees.
- Work collaboratively with diverse internal and external parties.
- Attend and support the needs of committees as assigned. Positively represent the university at various meetings and events.
- Process monthly credit card reports.
- Manage, coordinate, and order supplies.
- Serve as receptionist for the Executive Office suite.
- Organize and record direct-report time-off usage as assigned.
- Help ensure process improvements.
- Develop functional forms and organizational tools.
- Assist with events hosted by the Office of the Provost and/or President. Facilitate food service, reservation of spaces, etc.
- Support the administrative needs of the Director of Assessment, coordinate event space scheduling, catering, and meeting correspondence.
- Review program documentation for the purposes of accreditation and/or University program review, for the Office of Assessment and/or accreditation.
- Maintain a working knowledge of the campus with regard to campus-wide services, resources, office functions, departmental contacts, etc.
Additionally:
- Follow the guidance and direction of supervisor(s). Ability to work in a supportive and hard-working team environment.
- Sensitivity to matters related to academic integrity, confidentiality, and conflict resolution.
- Ability to maintain discretion and strict confidentiality regarding records and other information.
- Demonstrate effective time management, attention to detail, problem-solving, and organizational skills. Ability to work with regular interruptions in tasks and maintain productivity.
- Excellent interpersonal and communication skills, verbal and in written form. Ability to acquire information within deadlines from faculty, staff, students, and others over whom no direct authority is exercised.
- Demonstrate regular and predictable attendance and punctuality.
- Other duties, including special projects, as required or assigned. Ability and aptitude to adapt to new systems and processes.
- Perform employee responsibilities as detailed in employee handbooks and policies. Abide by the University’s policies, procedures, and rules. Demonstrate respectful, ethical, and responsible behavior.
