The Administrative Officer (Targeted) is a key member of the Northern precinct administration team based at the Royal North Shore Campus in St Leonards. Reporting to the Precinct Manager, the role provides broad administrative support across the precinct's day-to-day operations. This includes meeting coordination, facilities support, assistance with monthly WHS audits, financial transaction processing, reporting, project support, event coordination, diary management, and support to the Northern Clinical School.
Working under general direction, the role uses initiative and good judgement to manage routine operational matters, escalating more complex issues when needed. The position works closely with colleagues across the precinct and the wider university to help keep things running smoothly and support the delivery of work area objectives.
Your key responsibilities will be to:
- Provide proactive, high-quality administrative and operational support to the precinct, responding to enquiries and supporting staff, students, clients and visitors.
- Coordinate daily administrative activities, analyse correspondence, prepare advice and initiate follow-up actions on operational matters under broad direction.
- Deliver comprehensive diary, meeting and event coordination support, including agendas, minutes, venues, catering, IT and conference logistics.
- Manage records, finance and asset processes including invoicing, payments, procurement, reporting, database maintenance and compliance with university policies.
- Maintain and update online content, databases and reports, preparing standard and ad-hoc analysis, statistics and presentations as required.
About you
- Relevant combination of training and experience.
- Demonstrated effective written and oral communication skills, including good interpersonal skills with the ability to establish and maintain productive relationships with a diverse range of stakeholders both internal and external to the organisation
- Demonstrated computer literacy with strong proficiency across the Microsoft Office suite.
- Proven organisational, time management and numeracy skills, with the ability to manage competing priorities accurately.
- Excellent written and verbal communication skills, with the ability to respond professionally to a wide range of stakeholders.
- Proven ability to problem solve, meet deadlines, time management skills, the ability to prioritise workload, and manage competing demands.
