Assistant Registrar (Curriculum and Catalog)
This is a professional position responsible for serving as lead functional specialist regarding curriculum management, catalog, and course scheduling functions in the Office of the Registrar. Responsible for providing campus-wide support of these functions while ensuring that university policies and federal rules and regulations are followed. Works under limited supervision, with moderate latitude for the use of initiative and independent judgment. Reports to the Associate Registrar.
QUALIFICATIONS: Completion of at least two years of college coursework or an Associate’s degree is required. Bachelor’s degree is preferred. Related experience may be substituted for required education on a basis set forth by the Department of Human Resources.
Two years of related experience is required. Experience with Banner ERP system, Curriculog, and Acalog is preferred.
ESSENTIAL JOB FUNCTIONS:
- Serves as lead functional specialist for curriculum management and catalog software, to include representing the office on university committees.
- Provides functional and technical support to colleges, departments, the graduate school, faculty, and various governance committees regarding course and curriculum proposal submissions and overall curriculum management process.
- Tests and implements new functionality with software upgrades, patches, and enhancements.
- Maintains proper security and communication settings for software users.
- Reviews and approves new courses, course deletions, and course modifications.
- Maintains proper approval hierarchy and workflows in compliance with university policies and procedures and ensures curriculum software templates are updated and available by appropriate deadlines.
- Imports curriculum updates into catalog software and publishes the official yearly catalog.
- Coordinates production of the annual undergraduate and graduate catalogs while maintaining accurate program and course requirements and administrative information.
- Collaborates with stakeholders to ensure timely, efficient, and effective proposal review and processing.
- Reconciles the schedule of classes as necessary according to curriculum updates.
- Conducts formal training, presentations, and outreach to campus regarding curriculum management and catalog software, the overall curriculum management process, and the student module and processes in the campus ERP system.
- Develops and maintains collaborative working relationships with administrative staff, colleges, departments, and faculty to support curriculum management.
- Enters tuition waiver data information for qualifying students.
- Assists in planning, organizing, and facilitating informational presentations related to enrollment, scheduling classes, related student system forms, and web services.
- Performs maintenance of various student records in accordance with university policies and procedures and state and federal regulations.
- Archives records in accordance with retention requirements.
- Assists in regular data reviews; verifies, validates, and corrects data as needed.
- Compiles various special, quarterly, monthly, and ad hoc reports.
- Understands and applies the Family Educational Rights and Privacy Act (FERPA) as it relates to students’ privacy rights with student records.
- Assists the registrar in identifying opportunities for process enhancements.
- Assists with commencement preparation.
NON-ESSENTIAL JOB FUNCTIONS:
- Assists with commencement ceremonies.
- Participates in professional development activities.
- May serve on committees and team as needed.
- Assists other positions within the Office of the Registrar as needed.
- Performs other related duties as assigned.

- Ability to communicate effectively in both oral and written form.
- Ability to explain policies and procedures to faculty and staff.
- Ability to maintain effective interpersonal relationships.
- Ability to establish and maintain a good rapport with university faculty and staff, students, and the general public.
- Ability to work with and maintain confidential information.
- Ability to learn office and university-specific software.
- Ability to train others.
