Associate Registrar
The Associate Registrar serves as a key leader within the Office of the Registrar, playing a vital role in advancing the university's mission through collaborative and strategic leadership, operational excellence, and a commitment to student success. This position is responsible for driving continuous improvement in business processes, ensuring compliance with institutional and regulatory standards, and delivering exceptional service to students, faculty, and staff. In addition to leadership within the Registrar's Office, the Associate Registrar serves as a campus leader, partnering with academic and administrative units to enhance institutional effectiveness and improve the overall student experience.
Through cross-functional collaboration, data-informed decision-making, and a focus on innovation, the Associate Registrar helps maintain the integrity of academic records and supports a seamless, student-centered experience across all areas of enrollment and academic administration.
While typically aligned with a specific set of functional responsibilities, the Associate Registrar may be asked to assume responsibility of different or additional units within the Office of the University Registrar to most effectively support the needs of the office and the University and to continue to develop professionally to facilitate career progression.
The Associate Registrar's portfolio will currently include oversight of an Office of the Registrar unit responsible for academic progress: degree audit, graduation, transfer evaluation/articulation processes, National Collegiate Athletic Association (NCAA) certification.
Successful candidates must be centered on student success; focused on achieving institutional goals; demonstrate an ability to create/refine systems, processes, and policies; have strong change management skills; lead and develop a team of professionals who carry out the aforementioned functions; create and maintain campus-wide partnerships with key stakeholders; possess thorough knowledge of, or ability to learn and comply with state, federal, and organizational policies.
Responsibilities
- Leads the efforts to hire, train, manage, and empower a team of professional staff who support degree audit, transfer articulation, and compliance functions (NCAA, FERPA).
- Plans, organizes, and orchestrates operations of all affiliated division functions; interprets and applies federal and state mandated policies.
- Maintains collaborative partnerships with campus stakeholders including, but not limited to, University of Utah Athletics, the Academic Advising Center, the Office of Financial Aid and Scholarships, and the Office of the Admissions.
- Collaborates with campus partners to identify, evaluate, implement, and document operational and strategic needs as they relate to systems, process, and policy improvements.
- Serves as primary or secondary certification and eligibility officer for NCAA certification.
- Leads team efforts to establish and maintain effective domestic/international transfer evaluation and articulation processes; utilizes various software and computer systems to carry out transfer articulation/evaluation processes in a fast-paced environment; ensures transfer credit evaluation is consistent and accurate for students; collaborates with campus partners to evaluate and process transfer credit.
- Assesses, implements, or fine-tune existing policies, procedures, or workflows related to degree audit, transfer articulation, and NCAA certification.
- Participates in training, communications, task forces and committees internal to the university and among regional colleges/universities.
- Analyzes data to make informed decisions that drive operational change and contribute to students' successful degree and credential attainment.
- Ensures compliance with academic, regulatory, and accreditation policies and requirements to include FERPA.
- Fulfills other related duties as assigned.
