Assistant to the Vice President for Academic Affairs
Job Description
Great Basin College is seeking an Assistant to the Vice President for Academic Affairs (VPAA) and/or Associate Vice President for Faculty Success (AVPFS). This position reports directly to the VPAA and/or AVPFS and provides comprehensive administrative support while serving as the office manager for the Office of Academic Affairs. Acting as a liaison between students, faculty, staff, visitors, the Nevada System of Higher Education (NSHE), and the broader community, the role requires a strong understanding of Board of Regents and GBC rules, regulations, and policies. Key responsibilities include managing the VPAAs and/or AVPFSs calendar, coordinating faculty-related processes, providing guidance and training to support staff in Academic Affairs, and planning and organizing projects, reports, and meetings. Additionally, the position may make decisions and serve as a signature authority on behalf of the VPAA and/or AVPFS in accordance with established policies, guidelines, and rules.
Education, Experience, and Skills Requirements
Education and Experience:
- A bachelor's degree in a related field with at least four years of cumulative experience as an executive assistant, including supervision and budget oversight; OR
- An associate's degree in a related field with at least six years of cumulative experience as an executive assistant, including supervision and budget oversight; OR
- A minimum of eight years of cumulative experience as an executive assistant, including supervision and budget oversight.
Technical Proficiency:
- Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.
- Familiarity with email communication platforms and internet navigation.
Communication Skills:
- Strong proofreading abilities and effective written and verbal communication skills.
Decision-Making Skills:
- Ability to evaluate situations and information critically, using sound judgment to make informed decisions.
Independence and Teamwork:
- Capacity to work independently with minimal supervision while also contributing effectively as part of a team.
Interpersonal Skills:
- Excellent interpersonal skills to foster positive working relationships.
Key Responsibilities and Duties
- Serve as the primary point of contact for the VPAA and/or AVPFS, screening and prioritizing calls, visitors, correspondence, and requests, and making referrals as appropriate.
- Act as a liaison with NSHE, GBC administrators, faculty, staff, students, external organizations, accrediting bodies, and local businesses.
- Manage the VPAAs and/or AVPFSs calendar, including scheduling appointments, coordinating meetings, and arranging travel and accommodations.
- Draft correspondence, prepare reports, and respond to information requests regarding Academic Affairs activities.
- Maintain and organize confidential records, ensuring the security of sensitive information.
- Support accreditation efforts, including preparing reports for accrediting bodies.
- Plan, organize, and oversee special projects and assignments as directed by the VPAA and/or AVPFS.
- Develop and monitor the Academic Affairs budget, providing financial reports and tracking recurring expenses.
- Coordinate tenure and faculty evaluation processes, maintaining accurate records and ensuring adherence to established procedures.
- Oversee full-time faculty workload/overload calculations and submit period pay requests for overload payments each semester.
- Collaborate with deans and their assistants to ensure compliance with procedures and guidelines.
- Organize and schedule interviews for potential employees, processing candidate and employee interview expenses.
- Participate in campus and Faculty Senate meetings as required.
- Conduct research and studies on college operations and procedures as requested.
Travel
The position may require driving to other GBC campuses, with or without reasonable accommodation as per the Americans with Disabilities Act, with possible overnight stays to coordinate students and programs throughout the service area. There must be a commitment to the GBC mission to serve rural Nevada. The successful candidate will participate in several state-wide or national meetings each year that require overnight travel.
Compensation Grade
Administrative Faculty – C
This is a 12 month “A” contract, 12 month contracts are used for year round programs.
The budgeted salary range for this position is $59,186 - $73,982.
Salary is based on relatable education and experience, internal equity and budgets.
