- Based on the Melbourne CBD campus, however, you will be required to work and/or be based at other campuses of the University and apprentice or trainee locations
About You
The Executive Assistant provides high-level, agile support to multiple Senior Leaders within the College of VE, ensuring seamless executive operations in a fast-paced environment. This role manages complex diaries and inboxes, coordinates meetings and committees (local and international), prepares correspondence and documentation, organises events and travel, and delivers professional secretariat support.
Acting as a trusted liaison and first point of contact, the Executive Assistant engages confidently with stakeholders across the University and external partners. The role also contributes to project and operational initiatives, playing a key part in fostering a proactive, collaborative and service-focused culture within the College.
To be successful in this position, you’ll have / you’ll have as a minimum:
- Experience in a senior administrative/operations/project support role with the ability to work proactively and autonomously.
- Highly developed organisational and planning skills, with a high level of attention to detail and the ability to prioritise tasks.
- Excellent interpersonal, written and verbal communication skills.
- Capacity to work independently, show initiative and exercise discretionary judgment.
- A knowledge and understanding of the tertiary education sector.
- Ability to liaise constructively and effectively with a wide range of stakeholders on complex, sensitive and confidential issues.
- Ability to draft correspondence of a very high standard to internal and external stakeholders.
- Exceptional attention to detail in all matters.
- High level of computer literacy including word processing; presentation software (e.g.PowerPoint); email, internet and electronic document management databases and ability to manage electronic and paper-based filing systems including TRIM.
Qualifications
- Relevant qualification with experience; or extensive experience in administrative fields; or an equivalent combination of relevant experience and/or education.
