The Office of the Deputy Vice-Chancellor (Regional Futures) is responsible for promoting and actively enhancing the University's external regional relations through governance and advisory roles, industry, and higher education sector partnerships.
The Office of the Deputy Vice-Chancellor (Regional Futures), based on ECU South West’s Bunbury Campus, is responsible for encouraging and developing industry, employer, and community collaborations in curriculum relevant engagement and Statewide regional support for ECU course, students, and research.
About the Opportunity
We are excited to be offering this new and dynamic opportunity for a Senior Administration Support Officer. The successful candidate will play an instrumental role in supporting the Office of the DVC (Regional Futures) in achieving its vision by:
- Providing administrative support to the Director Regional Development. This includes diary support, liaison with the Executive Officer to align events with DVCRF and other activities as required.
- Ensuring the effective and efficient completion of multiple projects and assignments through the provision of customer-focused services across a comprehensive range of tasks, diligent documentation, reporting and record-keeping, and the proactive support of colleagues
- Provision of timely and effective organisation of meetings including team meetings. This may include preparing agendas, collation and distribution of discussion papers and taking minutes.
- As directed and with the guidance of the Project Coordinator Partnerships and Engagement, providing administrative support to external facing projects/events.
- Providing logistical and administrative support to the Executive Officer role and SW Campus Communications and Events Officer. This includes provision of some of the less complex communication activities and liaison with for VIPs and guest presenters and lecturers.
- Providing leave relief and support to Executive Officer, ECU SW Communications and Events Officer and Senior Learning Hubs Officer as required.
- Participate in all ECU, team, and individual planning activities; comply with ECU policies and practices in all aspects of their work and conduct; and ensure the safety and wellbeing of themselves and others by complying with WHS and EO requirements.
Please note, this role is located on our South-west campus in Bunbury.
About you
Our ideal candidate will demonstrate capabilities:
- Completion of a Diploma or equivalent qualification in a relevant field and at least 2 years subsequent relevant work experience, OR equivalent level of expertise gained from a combination of experience, training or professional accreditation
- Strong written skills and the ability to take a brief and either craft or edit a message for both internal and external audiences.
- Ability to organise and present information, views and concepts in a concise, understandable and interesting format for a variety of audiences, from ECU’s internal and external communities.
- Taking ownership of the task and the outcome by demonstrating initiative and commitment towards the completion of predetermined objectives, while focusing on an outcome that contributes to job and university success.
- Knowledge and use of job-specific systems and support processes as well as enterprise-wide systems and technologies for achieving efficiency of workflows and effective communications.
- Ability to work cooperatively with others to accomplish joint tasks and common objectives.
- Ability to understand and interpret the internal and external forces affecting the job and ECU.
