Foundation Operations Coordinator
Position Summary

The Foundation Operations Coordinator performs the operational, financial, and scholarship functions that power the Foundations work. This role manages the Foundations scholarship program, including direct support to students applying for scholarships, maintains accurate scholarship records, and ensures equitable and efficient program administration. The Foundation Operations Coordinator manages essential financial processes, ensures the integrity of donor and scholarship data, and supports fundraising initiatives. As part of the Foundation team within the Presidents Office, the Foundation Operations Coordinator provides backup executive administrative support to the Office of the President, ensuring operational continuity and a professional office environment. This role reports to the Executive Director of Advancement.
Success in this role requires strong analytical skills, increasing levels of responsibility in program support, and experience in fundraising, student services, donor relations, or related fields.
Required Education/Experience
- Bachelors degree or Associates degree and relevant experience.
- Experience in roles requiring organization, accuracy, confidentiality, and the ability to manage multiple priorities
- Experience working with databases, software systems, or administrative tools used to track information and processes
Preferred Education/Experience/Skills
- Bachelors degree in business management, nonprofit management, public administration, education or related field.
- Experience working in higher education, nonprofit organizations, or mission-driven environments.
- Proficiency with donor databases or CRM systems (e.g., Blackbaud, Etapestry and AcademicWorks, Salesforce).
- Experience managing financial processes such as deposits, reconciliations, and reporting.

Work Hours
M-F 8a – 5p with occasional evenings and weekends.
Location – North Carolina Research Center (NCRC) Campus located in Kannapolis, NC
Duty and Responsibility: Scholarship Coordination
- Coordinate and support the full lifecycle of the Foundations scholarship and student impact grant programs
- Serve as a helpful and knowledgeable resource for students, faculty, and staff throughout the scholarship application process
- Support fair and accessible scholarship application and selection procedures that align with donor intent and institutional priorities
- Maintain accurate records related to scholarship funds, applications, awards, and recipients
- Help deliver information sessions or communications that increase scholarship awareness and access
- Assist the Director of Advancement in collaboration with the Colleges Financial Aid Office to ensure compliance, coordination, and timely disbursement of awards
Duty and Responsibility: Financial Oversight & Advancement Operations
- Assist with key Foundation financial processes, including deposits, reconciliations, reporting, and audit preparation
- With oversight from the Executive Director of Advancement, work with the College finance team to support year-end reconciliation and accurate reporting of funds
- Support the Executive Director of Advancement with financial summaries, analysis, and operational reporting
- Help maintain strong internal controls and compliance with nonprofit best practices
Duty and Responsibility: Data Management & Advancement Systems
- Maintain and update donor and scholarship records within the Foundations CRM and related systems
- Serve as a resource for accurate data entry and effective system use
- Coordinate gift processing and data procedures to ensure timely, accurate, and consistent records
- Generate reports to support decision-making, donor stewardship, and board reporting
Duty and Responsibility: Fundraising & Donor Engagement
- Support Foundation fundraising and donor engagement efforts, including events such as the Scholarship Luncheon and Golf Tournament, donor acknowledgements, stewardship communications, and materials for annual giving, campaigns, and the Annual Report.
- Provide staff support to the Foundation Board and its committees by preparing materials, reports, and updates, and assisting with meetings as assigned.
- Represent the Foundation with professionalism, warmth, and purpose when interacting with donors, partners, Board members, and community stakeholders.
- Perform other duties of a similar nature or responsibility level as needed to advance the Foundations mission.
