Job Description
Responsible for managing and coordinating processes and procedures related to assigned institutional scholarship programs. This includes, but is not limited to NCAA scholarship compliance, Trustees Scholars processing, micro-grant programs, KC Scholars processing, and other major aid initiatives. Provides excellent customer service and guidance to scholarship applicants, student-athletes, and their families throughout the scholarship and financial aid process. Assists with maintaining and improving scholarship-related processing reports vital to standard financial aid and athletic compliance operations. The Coordinator must possess strong process-improvement and documentation skills and be able to work effectively as part of a team serving a diverse student population.

CHARACTERISTIC DUTIES

  • Provide accurate and responsive advising to prospective, new, and current students and their families throughout the scholarship and aid process.
  • Maintain current knowledge and understanding of institutional scholarship requirements, NCAA rules and regulations related to financial aid, KC Scholars program criteria, Trustees Scholars criteria and program processing, micro-grant guidelines, and other compliance frameworks as assigned.
  • Administer specific scholarship programs by processing aid on students accounts to maintain compliance and timely awarding of aid.
  • Communicate policy changes and regulatory updates to leadership and provide recommendations for implementation to ensure continued compliance.
  • Prepare. Compile, and/or work reports related to scholarship utilization, compliance, eligibility monitoring, and projections, as requested.
  • Collaborate with internal and external partners, including Athletics, academic units, community scholarship organizations, and Enrollment Management-to manage scholarship programs and ensure compliance with NCAA, state, institutional, and donor requirements.
  • Represent the office and scholarship programs with professionalism and adaptability, using strong interpersonal skills to build rapport, read situations accurately, and engage stakeholders in a positive, solutions-focused manner while also cultivating trust and positive influence across scholarship programs.
  • Contribute to aligning scholarship policies and procedures with the University's strategic enrollment and student retention goals.
  • Regularly prepare and process compliance and operational reports, including NCAA award processing and scholarship reconciliation reports.
  • Assist with data analysis, process enhancements, and improvements to scholarship awarding, application review, packaging, and program monitoring.
  • Demonstrate excellent attention to detail in all scholarship decisions and processing tasks.
  • Maintain knowledge of policies in other departments (Registrar, Cashiers, Athletics Compliance, Academic Units) and understand their impact on a student's scholarship eligibility.
  • Maintain student confidentiality in accordance with FERPA regulations.
  • Complete assigned duties with a high degree of accuracy while experiencing frequent interruptions and managing multiple deadlines.
  • Seek opportunities for continuous improvement and recommend enhancements to increase the efficiency and effectiveness of scholarship processes.
  • Perform other duties as assigned.

Minimum Qualifications
A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications
Experience in academic advising, financial aid counseling, scholarship administration, accounts receivable, or NCAA compliance preferred.

Anticipated Hiring Range
The anticipated hiring range for this position has been established as $18.87-$21.27 per hour.
Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
