Job Description:
GENERAL STATEMENT OF DUTIES:
The Coordinator for Finances, a member of the Center for Student Experience and Career Development team, has primary responsibility to assist the Executive Director and all other staff with the financial management of the Student Activities Trust Fund (SATF), Career Services Trust Fund, College Center Trust Fund, and New Student Orientation account. Serves as a primary liaison for the Center for Student Experience and Career Development with the University Business Office, FSU vendors, and external vendors for events and programs.
SUPERVISION RECEIVED:
Reports directly to the Executive Director for Student Experience and Career Development
SUPERVISION EXERCISED:
Supervise contractor for WDJM Radio Station and student workers in the role of Student Finance Coordinator.
SPECIFIC DUTIES AND RESPONSIBILITIES:
- Provide financial management on behalf of the Executive Director, which includes responding to inquiries from students, faculty, staff, administration, vendors and the general public. All communications regarding students are conducted with strict confidentiality in accordance with the Family Education Rights and Privacy Act (FERPA).
- Hire, train and supervise Student Coordinator/s of Finance.
- Oversee contract employee for WDJM Radio Station, ensuring compliance with FCC regulations.
- Work with University Business Office and University Legal Counsel to ensure proper execution of all contracts within the guidelines of the Commonwealth of Massachusetts.
- Interact with and advise student organization officers in regards to maintaining financial guidelines as they pertain to requests both cash and non-cash purchases.
- As a professional staff member in the Center, assist with all large annual university events, including, but not limited to, the Awards Ceremonies, Black and Gold Beginnings Orientation, Homecoming and Family Weekend, Career Job Fairs. Assist with student organization events when needed. Some travel may be requested to serve as travel staff for student trips.
- Process all payments for the Center's business and event related expenses, which is approximately 300+ events each academic year. Types of processes including: Purchase requisitions with various modes of purchasing, i.e. Purchase Order, Contract, Purchase Card; Travel encumbrance; Standing University purchase orders, i.e. Sodexo, Bookstore; Arrange for overtime payments for university event staff, and facility check-sheets for purchasing; Standing outside vendor purchase orders, i.e. Amazon, WB Mason, etc; Performance and vendor contract
- Reconcile all student organization accounts, both Student Activity Trust Fund and Class & Club, regularly to provide an accurate budget picture in RamLink (Campus Groups) student organization software platform.
- Reconcile Career Services Trust Fund, College Center Trust Fund, and New Student Orientation accounts.
- Serve as point person with University Business Office to ensure proper guidelines and procedures for processing and receiving all purchasing, payment completion, receiving of goods/services, etc.
- Book all transportation needs for all student organization and Center sponsored events within the specifications of the funding parameters and any travel policies stipulated by the University. Determine the transportation needs of a particular event. Obtain price quotes from various transportation vendors, process purchase requisitions. Create and maintain a transportation log for all events.
- Responsible for creating reports for the Center related to finances and larger assessment reporting determined by the Executive Director. Prepare, analyze and review periodic and annual reports based on Center functions for use by the Executive Director. Create, update, and maintain databases for student organization, careers, and new student orientation related expenses and budget analysis.

WORKING CONDITIONS:
Majority of work hours take place in an office environment requiring use of computer and telephone. Working both indoors and outdoors for certain events and activities, includes standing for periods of time, bending, crouching and any other body movements associated with event support. Some evening and weekend hours as needed for certain events. Some travel with student groups on buses, other provided transportation or own transportation needed. Remote work may be allowed when low presence of students time periods on campus, i.e. summer, holiday weeks.
Requirements:
MINIMUM QUALIFICATIONS:
- Bachelor's Degree.
- Proficient in Microsoft Office applications.
- Knowledge of office management practices.
- Ability to multi-task in a fast paced student oriented office.
- High comfort level navigating a wide range of discussions with students
- Detail oriented, with a focus on organization
- Ability to work effectively with professional, non-professional, and student personnel
- Ability to work with a diverse workforce and student population
- Confidence in making procedural decisions that fall in line with best practice and professional candor
- Valid driver's license
PREFERRED QUALIFICATIONS:
- Knowledge of the Banner system for processing requisitions for purchasing.
- Working knowledge of design software such as Adobe Creative Suite and Canva.
- Prior experience in higher education, student experience, and/or budget management.
Additional Information:
This is a full-time, exempt, benefits-eligible position in the Association of Professional Administrators (APA) bargaining unit with a union title of Staff Associate. The anticipated starting salary is $58,000-60,000.
