About the role
As an Administrative Assistant in the Faculty of Humanities, Arts, Social Sciences and Education (HASSE), you'll play a vital role in supporting one of UNE's most diverse and dynamic faculties. This position offers the variety and engagement that makes administrative work genuinely rewarding - you'll be directly involved in supporting teaching and learning activities, from processing student extension and special assessment applications to coordinating examination processes and managing results. You'll also assist with organizing faculty seminars, workshops, and public lectures, maintain critical databases and records, coordinate meetings (including agenda preparation and minute-taking), and handle routine financial transactions. Your work will have a tangible impact on student success and the smooth operation of academic programs across the School of Education and the School of Humanities, Arts and Social Sciences.
Working under the general direction of the Team Leader, you'll have the autonomy to manage your day-to-day tasks while being supported by a collaborative administrative team. This role is ideal for someone who values variety, thrives on problem-solving, and wants to be part of a faculty environment where staff are safe, welcomed, and respected. You'll develop your digital capabilities - including embracing AI and emerging technologies in administrative processes - while building strong relationships with academic staff, students, and colleagues. About you
To be successful in this role, you will have:
- A relevant qualification (Diploma, Certificate IV, Certificate III, or post-trades certificate) with appropriate work experience, or an equivalent combination of relevant experience and training
- Advanced word processing skills and strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, Outlook), Adobe Acrobat, and video conferencing platforms like Zoom
- Proven administrative experience, ideally within a small office or team environment
- The ability to work independently on day-to-day matters, take initiative, and deliver assigned tasks to deadlines while following established procedures and guidelines
- Excellent interpersonal, written, and verbal communication skills, with the ability to build strong relationships with colleagues, students, and stakeholders
- A high level of discretion, tact, and the ability to handle confidential information with integrity
- A flexible and adaptable approach to work, with the willingness to embrace change and respond positively to new initiatives and strategic directions
- A readiness to use AI and digital technology in the workplace to enhance administrative processes and efficiency
