Job Description Summary:
The University of La Verne is seeking an experienced and detail-oriented Assistant Registrar of Systems to join the Office of the Registrar. This position plays a critical role in the administration and enhancement of academic systems, with a primary focus on Ellucian Banner, Degree Works, and Cognos. The Assistant Registrar of Systems ensures the effective use of these tools to support academic operations, maintain data integrity, and deliver high-quality services to students, faculty, and staff.
The successful candidate will bring a blend of technical expertise, project management skills, and a student-centered mindset to help advance the University’s mission of providing personalized, values-based education.
Minimum Qualifications:
- Bachelor’s degree in Information Systems, Higher Education Administration, or a related field.
- Demonstrated proficiency with Ellucian Banner, Degree Works, and Cognos.
- Strong analytical skills with attention to detail and commitment to data integrity.
- Ability to manage multiple projects and deadlines in a fast-paced environment.
- Effective interpersonal and communication skills; ability to collaborate with both technical and non-technical stakeholders.
Preferred Qualifications:
- Master’s degree in Higher Education, Information Technology, or related discipline.
- At least 3 years of experience working in a Registrar’s Office or equivalent in a higher education setting.
- Familiarity with university policies and student support services.
- Knowledge of SQL and experience developing queries or scripts to support reporting needs.
- Experience with process mapping, change management, and system training delivery.
Specific Duties:
- Oversee the day-to-day functionality, configuration, and maintenance of Ellucian Banner (Student module), supporting processes related to registration, grading, transcripts, academic standing, and degree conferral. Percentage of Time: 25%
- Manage and maintain Degree Works, including scribing, troubleshooting audits, updating curricular requirements, and collaborating with academic departments for program accuracy. Percentage of Time: 25%
- Design, build, and manage reports using Cognos, providing actionable insights to Registrar staff, academic leaders, and institutional stakeholders. Percentage of Time: 10%
- Coordinate and support enrollment reporting to the National Student Clearinghouse, including transmission of data for compliance with NSLDS requirements, resolving data discrepancies, and ensuring timely and accurate submission of enrollment files. Percentage of Time: 10%
- Collaborate with the Office of Institutional Research by maintaining accurate student system data and supporting queries needed for compliance reporting such as census files and IPEDS. Work closely with the University Registrar, IT Services, Academic Affairs, and Student Services to improve workflows, automate processes, and ensure system integration and optimization. Conduct regular audits and data quality checks to ensure accuracy and compliance with university policies and FERPA regulations. Lead or support key projects related to system upgrades, new technology implementations, or reporting initiatives. Percentage of Time: 15%
- Create and maintain system documentation, process guides, and training materials for end-users and Registrar team members. Provide technical and functional support to users across campus, responding to inquiries, issues, and enhancement requests. Monitor trends in academic technology and identify opportunities to improve system functionality and user experience. Percentage of Time: 15%
Salary Range Maximum: $79,000 Minimum: $96,800

The offered wage or salary is only one aspect of an employee’s total compensation.
