Description of Job Duties and Responsibilities
GENERAL SUMMARY
Serves as the Administrative lead for Programs and student control for the Aviation Center of Excellence. Reports directly to the Chair of the Aviation department within the College of Business & Aviation and works collaboratively with the Program Manager and Aviation academic instructors to facilitate student control, academic pathway advising, scholarships, events, class scheduling and graduations. Coordinates ACE tours, internal and external events, programs, recruiting visits and interacts with media and public relations. Responsible for keeping and stocking office supplies, recognition awards, handouts and ACE uniforms. Oversight and operability with Aviation Program Manager for smooth schedule and integration of academic schedules and flight.
PRIMARY RESPONSIBILITIES
- Manages the relationship between the ACE and main campus by serving as professional liaison for both students pertaining to all areas encompassed under "student services" including but not limited to Registrar, Financial Aid and scholarship, Admissions and Recruiting and University Relations and Marketing.
- Conducts the selective/competitive application and registration process for the program.
- Serves as the Aviation Programs main "Point of Contact" or "first touch" for outside applicants, public, external programs, media and general interest.
- Directs marketing efforts and coordinates all special events, graduations in conjunction with University Relations and Marketing.
- Serves as primary academic and pathway advisor for Aviation Flight and Aviation Management students coordinating with Academic Instructors and other potential staff advisors.
- Complete statistical and progress reports when required or requested.
- Aids Aviation and Aviation Management students in scheduling and enrollment for classes, obtaining credentials (ID cards), tracking credit hours and preparing for graduation.
- Responsible with P- CARD for inventory, reconciliation, receipts of office supplies, uniforms, marketing, recognitions and various other materials as may be required.
- Works closely with the College's Academic Business Manager on procurement, expenditure reconciliation, documentation, and budget management and analysis as required.
- Works closely with the Academic Operations Manager on all course schedules, faculty deployment, and registration policy administration.
ADDITIONAL DUTIES
- Aid Director and Chief in recruiting, hangar tours, maroon and white days, web ex's, career fairs, trade shows as required
- Coordinate Discovery flights as required
- Serve on student interview, performance review, disciplinary and termination boards as required.
- Other duties as assigned by the Chair or Chief Pilot.
Minimum Required Education
Bachelor's degree required, master's degree preferred.
Required Licenses and/or Certifications
NA
Minimum Required Qualifications
- Three (3) years of administrative, recruiting, academic advising experience in higher education.
- Proficiency with Microsoft Office 365
- Preferred experience with higher education and student information systems, such as: Ellucian Banner ERP system, Argos, FELIX, DegreeWorks, Slate, EAB Navigate, Blackboard and/or D2L Brightspace, Taskstream, PeopleAdmin, and WV Auditor/Kronos.
Preferred Qualifications
- Master's degree in higher education, aviation, or closely related field.
- Work-related evidence of strong commitment to a student-centered, student-success model of academic advising.
- Ability to self-manage, work independently, prioritize tasks, organize work, and complete a variety of complex projects and priorities simultaneously.
- Demonstrate high level of discernment when making academic decisions not overtly addressed by current policies and procedures.
- Ability to establish and maintain positive working relationships with academic leadership, students, parents, and colleagues.
- Strong analytical, critical thinking, organizational, problem-solving, and detail-oriented skills.
- Effectively analyze information and make informed decisions.
