Job Summary
The Non-Student Accounts Receivable Coordinator is responsible for managing and maintaining accurate financial records related to non-student accounts, including third-party billing, grants, contracts, and miscellaneous receivables. This role ensures timely invoicing, payment application, and reconciliation of accounts, while adhering to college policies and internal control standards.

Essential Duties & Responsibilities
- Prepare and process invoices for non-student accounts, including third-party organizations, grants, and internal departments.
- Monitor and reconcile monthly non-student accounts receivable sub-ledgers to the general ledger.
- Track outstanding balances, initiate collection efforts, and resolve payment discrepancies.
- Maintain accurate records and documentation for audits and compliance reporting.
- Collaborate with internal departments to ensure proper billing and timely payment processing.
- Assist with developing and implementing procedures to strengthen internal controls.
- Respond to inquiries from vendors, departments, and external partners regarding billing and payment status.
- Support year-end closing activities and provide data for financial reporting.

- Compliance with all college policies, procedures, and applicable state/federal regulations.
- Ability to work standard business hours with occasional overtime during peak periods (e.g., fiscal year-end, audits).
- Commitment to maintaining the confidentiality of financial and personal information.
- Physical ability to perform essential functions, including sitting for extended periods and using a computer.
- Reliable transportation for occasional off-site meetings or training, if required.
- Ability to interpret and apply accounting principles, accounts receivable processes and internal control procedures.
- Proficiency in ERP systems (Banner experience preferred), Microsoft Excel and other Microsoft Office applications
- Ability to analyze financial data, identify discrepancies, and implement corrective actions.
- Excellent organizational skills with attention to detail and accuracy.
- Strong communication and interpersonal skills for working with internal and external stakeholders.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Knowledge of internal controls and compliance requirements in higher education settings.
- Effective written and verbal communication skills for interacting with internal departments and external partners.
- Problem-solving skills and the ability to work independently with minimal supervision.
- Ability to communicate effectively with a broad range of people with a variety of abilities and backgrounds, to maintain good working relationships across the College.
- Ability to work with all groups from a variety of academic, socioeconomic, cultural, and ethnic backgrounds, and with community college students, faculty, and staff, including those with disabilities.
Minimum qualifications
- Associate's degree in any business-related field; or an equivalent combination of education and full-time, paid work experience on a year-for-year basis.
- Two (2) years of direct, paid, and full-time experience in accounts receivable or related accounting functions.
OR
- Bachelor's degree in any business-related field; or an equivalent combination of education and full-time, paid work experience on a year-for-year basis.
- Zero (0) to two (2) years of direct, paid, full-time experience in accounts receivable or related accounting functions.
- Reliable transportation for occasional off-site meetings or training, if required.
Preferred Qualifications
- Experience working with enterprise resource planning (ERP) systems (Banner or similar preferred).
