GME Program Admin Senior / Intermediate
The University of Michigan Division of Geriatric and Palliative Medicine seeks a Graduate Medical Education (GME) Program Administrator Intermediate / Senior (based on level of experience) to manage the Hospice & Palliative Medicine Fellowship.
With a diverse patient population from a broad range of socioeconomic backgrounds and exposure to multiple models of serious illness care, our Hospice & Palliative Medicine Fellowship is one of the leading programs in the nation. It offers an ideal training experience for physicians interested in Palliative Care, Geriatrics, Oncology, and/or future medical leadership, providing exposure to an integrated, interprofessional approach to caring for patients with serious illness across a variety of settings. The Graduate Medical Education (GME) Program Administrator is a critical role which includes a variety of duties, including administrative, finance, human resources, event planning, recruitment, and is an essential component of the training programs operation. The GME Administrator will ensure all trainees exceed the training standards required by Accreditation Council for Graduate Medical Education (ACGME) and the American Board of Internal Medicine Palliative Board requirements.
Program accreditation - manages oversight and required documentation of required meetings; prepares for and participates in site visits, self-studies and/or special reviews; revises content to include in surveys/reports; liaises between the national accreditation organization, Program Director and GME Office; gathers documentation for GME office.
Curriculum Development - manages evaluation mapping of core competencies and milestones; continuously ensures new/revised requirements are integrated into the training program; analyze and present comparison data of evaluations; critically evaluate evaluations for trends; analyze complete evaluations for concerns; create conference schedule; ensure didactics meet accreditation requirements; assist with orientation; identifies new didactic sessions. Additionally, the Program Administrator coordinates and provides administrative support for the serious illness communication training program (MTalk), which is integrated into the fellowship and delivered in collaboration with interprofessional faculty.
Program Liaison for Graduate Medical Education - provide measurable impact on operational effectiveness and attainment of training program objectives; review/revise documentation content; provide administrative supervision and support to residents/fellows; function as liaison between residents/fellows, program director, faculty, GME, and others; create and maintain processes for tracking data; is authorized to advise on/resolve resident questions and concerns; creates documentation content.
Resident/Fellow Scheduling - Collaborates with the Program Director to craft a comprehensive schedule for fellows that meets all ACGME and program-specific requirements for successful fellowship completion. Monitors clinical and educational assignments across multiple training sites to ensure appropriate coverage and educational value. Tracks work hours to maintain compliance with ACGME duty hour policies. Ensures all Program Letters of Agreement (PLAs) are accurate and up to date in conjunction with the contracting team. Actively monitors for potential deficiencies in required clinical experiences or rotations and works with program leadership to adjust as needed to ensure fellows remain on track for graduation.
Policies and Procedures - stay abreast of national, institutional, and employment requirements which inform policy/procedure development; educate and assist with onboarding new program directors; educate residents/fellows on accreditation, institutional, and/or departmental policy and procedure; ensure alignment with institutional priorities and accreditation requirements; revise and/or implement new policies as needed; creates program training manuals/materials; creates policies/procedures; counsels on impact of policies/procedures.
HR - process LOA's and advise residents/fellows on the effects of the LOA; create letter to Board for exceptions/waivers; maintain training program manuals/materials; assist residents with administrative matters; complete onboarding and termination of residents/fellows, maintain residents/fellows credentialing.
Administrative Support - Provides high-level administrative support to the Program Director and Associate Program Directors, including scheduling meetings, managing calendars, and coordinating program-related communications. Assists with tracking and processing CME funds, membership dues, and professional development expenses. Supports travel planning for conferences, including registration, accommodation, and reimbursement submissions. Maintains accurate records to ensure timely and compliant use of professional funds.
Recruitment - screen applicants for interviews to meet selection criteria; coordinate rank meeting materials; participate in rank meeting; participate in interview process; organize and arrange faculty members and current residents/fellows for interviewing candidates; arrange itineraries and schedules for candidates; execute recruitment days and problem solve; collect and maintain data to analyze, identify trends and make recommendations; collaborate with Program Director to enter and certify Rank Order list; develop and distribute post-recruitment or Match surveys; creates content for recruitment materials; evaluates applications for invitation and makes recommendation on who to invite for interview; makes recommendations at Rank Meeting; makes recommendations based on data and survey trends.
Educational, Wellness and Social Events - create and monitor event budgets; manage events, analyze survey or event evaluation feedback; coordinate and implement University hosting policies/procedures; track resident/fellow completion of required educational events.

- Bachelors degree or equivalent combination of education and experience
- 5-8 years of professional/administrative experience
- Considerable professional/administrative experience
- Demonstrated ability to make independent decisions to determine appropriate course of action within the context of policies and standards
- Demonstrated ability to analyze, compare and evaluate various courses of action within scope of the role
- Demonstrated ability to operate with independence
- Experience in an academic health system
GME Program Administrator Senior
In addition to the requirements listed above:
- 3 or more years of GME experience
- Committee and Leadership experience
- Demonstrated effective presentation skills
- Knowledge of University policies and procedures
This position may be underfilled at a lower classification depending on the qualifications of the selected candidate.
