Temporary Administrative Coordinator
Job Description
The Initiative on Race & Resilience (IRR), housed in the College of Arts and Letters, seeks a detail-oriented and highly organized Administrative Coordinator to provide temporary administrative, clerical, and organizational support. This is a temporary position (up to 40 hours per week), expected to last 3-4 months.
Position Overview
The Administrative Coordinator plays a key role in ensuring the smooth operation of IRR's academic, programmatic, and community-facing initiatives. Working closely with the Director and Program Manager, the Administrative Coordinator manages communications, event logistics, financial tracking, and day-to-day operations that advance the Initiative's mission.
Key Responsibilities
- Coordinate campus-wide communications about IRR events, including event advertising and publicity.
- Organize event support services for speakers, artists, and lecturers, including booking flights, arranging catering, securing lodging, and reserving venues.
- Monitor financial accounts, including restricted accounts, tracking expenses, and preparing stewardship reports.
- Hire, train, and supervise student workers.
- Maintain and regularly update the IRR website.
- Assist the leadership team and affiliated faculty with administrative and project support.
- Manage the Director's and Initiative's calendar, correspondence, and event-related travel.
- Oversee IRR's physical spaces; receive visitors and phone calls courteously and professionally.
- Coordinate logistics for advertising events, including communications about event details and the graphic design of posters and web-based promotional materials.
- Order office supplies, maintain filing systems, and ensure the office remains organized and professional in appearance.
- Sort and distribute incoming mail.
- Provide clerical and digital design support for IRR projects, including the board, the Multiracial Democracy Working Group, and the leadership team.
- Perform additional tasks as assigned to support the Initiative's extensive projects and programs.
Qualifications
- Previous experience in administrative support, event planning, or office management preferred.
- Strong organizational, time management, and multitasking skills.
- Excellent verbal and written communication abilities.
- Professional demeanor with the ability to interact effectively with faculty, staff, students, and visitors.
- Familiarity with financial tracking and reporting.
- Proficiency in office software (Microsoft Office, Google Workspace) and willingness to learn University-specific systems.
- Experience with web content management and basic graphic design is a plus.
