Summary

Responsible for managing the day-to-day activities and workflow processes of the staff in the Registration & Student Records office. These processes include admissions, registration, graduation, record management and storage using document imaging. The Associate Director of Registration & Student Records is responsible for managing a staff and working with them in a team atmosphere, managing the flow of work and delivering customer service. Reports to the Executive Director of Registration & Student Records/Registrar.

Essential Duties and Responsibilities

  • Hire, manage and motivate assigned staff members, delegate responsibilities, identify training needs, and evaluate performance.
  • Coordinates and trains staff on process related issues and customer service.
  • Supervises the processes for admission, registration, record management including imaging and storage for credit and noncredit students.
  • Assists and supports the Executive Director with the development, implementation and changes to college policies, processes and procedures regarding student registration and records. Ensure changes are communicated to the college community.
  • Oversees the final graduation process by reviewing graduation audits, notifying graduation candidates of deficiencies and steps to resolution, posting degrees to the official transcript, and supervises the entry of all data related to diploma creation.
  • Contributes to the success of commencement ceremony by maintaining the commencement web site, assuring an adequate supply of diploma covers, overseeing the production, content, and distribution of commencement name cards, serving on the Commencement Committee, and assisting during the commencement ceremonies.
  • Supports and serves students, academic advisors, staff, faculty, and administrators by interpreting and clarifying college policies regarding graduation requirements.
  • Utilizes Degree Works (Degree Audit Software) in completing graduation audits. Updates approved course and program changes in Degree Works Scribe.
  • Oversees the PA Secure ID process and submissions. Oversees enrollment reporting to the National Student Clearinghouse, ensuring the accuracy of the data submitted. Troubleshoots reporting errors.
  • Serves on the Academic Standards Committee, Leadership Team, Commencement Committee, and Tuition Appeals Committee.
  • Chairs the Academic Calendar Committee including the production of and submitting of academic calendars for Board of Trustees approval as well as development of Refund and Withdrawal dates, grading memo schedules, and course cancellation and nonpayment drop deadlines.
  • Responsible for participating in the implementation, maintenance and use of Banner, Dynamic Forms, Degree Works, Avaya phone system (call center software), and other related software and technology.
  • Oversees various grading processes including non-attendance, mid-term grading, course reinstatements, incompletes, and dean’s list certificates and honors designations.
  • Develops and maintains all Dynamic Forms for the department.
  • Oversees all departmental communications through Banner Communication Management.
  • Serves as the department liaison with Academic Services and Deans regarding course schedule waitlists, needs, and trends. Aggregate and analyze student enrollment data for programs through teach out reports for Deans, as needed.
  • Oversees assignments of campus facilities for credit and noncredit classes and prepares reports on space utilization as requested.
  • Oversees medical withdrawal process.
  • Maintains an operations and procedures manual for the office.
  • Other duties as assigned by the Executive Director of Registration & Student Records.

Qualifications

Required

Education

  • Bachelor’s degree from an accredited institution of higher education.

Certifications

  • Act 153 Clearances (Act 34 PA Criminal Background, Act 151 PA Child Abuse History, Act 114 FBI Clearance Fingerprinting)

Knowledge, Skills, Abilities

  • Two years supervisory experience.
  • Experience coordinating efforts and collaborating to determine solutions with a support staff team.
  • Must be able to articulate exceptional customer service skills with ability to train others accordingly.
  • Advanced computer skills in utilizing Microsoft Office and Google Drive as well as experience in working with an integrated database system.
  • Must possess a high level of the following work skills and behaviors: teamwork/cooperation, initiative, customer service, and commitment to continuous professional growth in skills and knowledge.

Preferred Qualifications

Knowledge, Skills, Abilities

  • Bilingual(Spanish/English)
  • Experience with Ellucian Banner or similar product

Work Experience

  • Two years’ experience in managing multi-step work processes in an office.
  • Experience working in a higher education setting.
  • Ability to evaluate staff.

Physical Demands

While performing the duties of this job, the employee is frequently required to stand; walk; sit; use hands to handle or feel; reach with hands and arms; talk and hear. The employee may regularly lift and/or move up to15 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and distance vision.
